    Job Title: Administrative Specialist, Business Support

    The administrator will oversee day-to-day financial operations, ensuring accurate and timely processing of financial transactions, compliance with regulatory standards, and maintenance of financial records. This role involves supporting budgeting, forecasting, and reporting processes, and implementing process improvements to enhance financial controls and efficiency.

    This role requires a high level of attention to detail, analytical skills, and ability to work independently with minimal supervision. The successful candidate will be able to manage multiple tasks, prioritize work effectively, and meet deadlines. Strong communication and interpersonal skills are essential for this role as the candidate will be interacting with various stakeholders including internal team members, external clients, and management.

    Main Responsibilities:

    1. Purchasing compliance: Ensure that all purchasing activities are in line with company policies and procedures. This includes ordering management, distribution of stationery/hardware/packaging materials, and control of personal protective equipment (PPE).
    2. Timesheet/Labour Invoices: Capture and submit timesheets on time, verify invoices against approved timesheets, and raise anomalies to Labour Broker/HR/Branch Manager.
    3. Asset Procurement: Review asset register monthly, sign off on new assets, conduct quarterly audits, and report back to Admin Manager/Branch Manager on audit findings and status.
    4. Invoicing: Raise weekly/monthly invoices to clients, update invoicing schedule and template, ensure supporting documentation is uploaded on Debtors Invoicing System, and follow up on outstanding balances.
    5. Webcost: Review coding, adhere to timelines, review Web query report weekly, action queries, and escalate supplier concerns to Admin Supervisor.
    6. DSO Management: Monitor DSO Report, follow up on outstanding balances, maintain healthy relationship with customers, and give feedback to Admin Manager.
    7. Financial Reporting/Analysis: Review financial reports, investigate anomalies, and respond to P&L queries in a timely manner. Prepare SKF reporting, collate and present monthly financial performance report, and liaise with Branch Manager on Manning, Equipment & other high costs.
    8. KPI Reporting: Table actual KPI data, alert operational management to major variances, and provide reasoning for major variances.
    9. Branch Support: Support ISO Quality Management processes, support Branch Managers with finance and administrative requirements, and assist in improving administration within 6 months.
