Technical Administrator


Reporting to:

Service Director


Based at:

Head office, Midrand


Job purpose and overview:


To complete the full technical administration function of the role and support the technical team in all aspects of the team requirements.

The Technical administrator will follow the entire admin cycle in its entirety and ensure that the team is supported.


Job description

Key Performance Areas

  • Answering of phone calls
  • Logging calls daily
  • Creating of Job cards on Pastel (Daily)
  • Make bookings if necessary
  • Customer Service (client complaints)
  • Mailing suppliers for pricing daily
  • Checking price on portal for suppliers
  • New quotations (parts) daily
  • New quotations (units) daily
  • Assis with quotation for Service director
  • Updating of job card spreadsheet daily
  • Ordering of parts daily
  • Ordering of parts on portal
  • Ordering of project units
  • Keeping detailed track of all parts ordered weekly
  • Booking in and out of all spares daily
  • Arranging collection/delivery of parts to be returned (Goods return note)
  • Create part return on supplier portal for approval
  • Return documentation for suppliers (faulty part photo + model numb photo)
  • Following up on credit notes with various suppliers
  • Keep detailed track of parts returned with credit notes
  • Arranging warranty orders on all parts or units if necessary
  • Create warranty return on supplier portal for approval
  • Complete warranty forms for supplier
  • Return all parts if needed
  • Arranging with subcontractors for installations
  • Arranging supplier site callouts
  • Arranging commissioning on new project sites
  • Assist with handover files
  • Assist with creating COC (certificates of compliances) on new site projects
  • Assist with tender quotations when requested
  • Following up on outstanding invoices (weekly)
  • Checking all job cards before handing over to F.A for invoicing weekly
  • Signing off on new maintenance contract + arranging of delivery
  • Stand in for Service Director with dispatching of technicians when not at work
  • Helping Service administrator when necessary or requested
  • Checking vehicle trip reports when requested
  • Check all monthly overtime on technicians
  • Morning technician meeting preparation
  • Booking in and out of laptops
  • Assist with orders
  • Helping project managers with documents/job cards when requested
  • Loading job cards on system daily
  • Editing jobs on system daily
  • Printing job cards done daily for Service Director to sign off in meeting
  • Following up on outstanding quotes weekly
  • Following up on outstanding purchase orders weekly
  • Ordering units/ducting and fans for Service Director
  • Load jobs on system for Service Director
  • Following up with Service Director when to invoice his jobs
  • Ordering tools etc. for technicians when needed

Job Type:
Temporary

Contract length: 6 months


Salary:
R10, R11,500.00 per month


Experience:


  • Administrative office procedures, practices and equipment: 3 years (preferred)
