Business Support Services Officer (Facilities)

Role Purpose


To implement a consistent facilities management and business support service for the British Council offices and residences in South Africa.

The areas this colleague is expected to contribute to include effective administration and service delivery for colleagues. This position is 100% on-site.


Main accountabilities but not limited to the following:

Facilities and support services

  • Delivers a range of administrative services within agreed corporate procedures, to maximize quality, continuity, and efficiency.
  • Maintains accurate records as they relate to the work area and drafts routine and some nonstandard documentation, reports, or financial analysis/reconciliations.
  • Performs straightforward analysis, manipulation, and interpretation of data, tasks, or information, presenting findings/results accurately and appropriately to support effective maintenance of management information systems
  • Provides logístical support to the organization and delivery of internal and external activities, to ensure they run smoothly and efficiently.
Service support

  • Receives and responds to inquiries from suppliers, and maybe a specific point of reference on queries relating to an area of nominated responsibility. Identifies where more complex issues require resolution by others and refer to them accordingly.
  • Recognises and understands the impact of incidents arising (e.g. complaints, resourcing problems, logístical or technical difficulties) and proactively alerts the Head of Operations to any issues of concern that are likely to impact service, project, or task delivery.
Relationship & stakeholder management

  • Proactively communicates and liaises with others (inside and outside the British Council) to ensure effective coordination and delivery of goods, services, and activities.
  • Builds an understanding of who's who within the wider directorate to enable effective resolution of issues when they arise.
Finance & resource management

  • Monitors and takes responsibility for purchasing cards & procure2pay process, following established procedures.
  • Ensures that equipment and materials required in facilities are available and ready to use when needed.
Managing self & others

  • Plans and prioritizes own work activities, responding to changing requirements to ensure effective delivery of responsibilities over a daily or weekly period.
  • Tasks and coordinates others, internal colleagues, or external suppliers, to complete timelimited, straightforward activities, within established procedures, in order to ensure efficient delivery of services. Monitors task completion to agreed quality and time standards.

Role-specific knowledge and experience:


Essential requirements:


  • Postschool certificate or diploma in administration or secretarial sector.
  • 1+ years experience in an administrative support or office management role in a structured environment with guiding office practice and procedures.

Desirable:


  • Experience working with a financial management system such as SAP or similar
