Minimum Requirements:


  • Grade 1
  • Own Car & Driver's license essential.
  • Working knowledge and experience in Microsoft Office packages (Word, Excel, Powerpoint, Outlook).
  • Knowledge and experience in Protel or similar Hotel Management system would be advantageous.
  • Must have at least 2 to 3 years of experience in a similar role (Hotel reservations, Conferencing & Banqueting, Conference reservations, Appointment making, Hotel experience, Telesales skills).
  • A relevant tertiary qualification will be an added advantage.
  • Attention to detail.

Duties and Responsibilities will include:


  • Managing all customer queries telephonically and in person to recover business relationships.
  • Sending quotes to clients on behalf of the Sales Specialist as well as incoming call enquiries.
  • Conducting outbound calls to increase the database and accumulate sales weekly.
  • Assist at setting up an annual calendar for the Sales Specialist and BDSs (Business Development Specialist) based on visit need (i.e. clients that are required to be visited monthly or at regular intervals, as the case may be).
  • Manage the annual calendar in conjunction with the Sales Specialist and BDSs (Business Development Specialist).
  • Assist with the setting up of appointments for Sales Specialist and BDSs (Business Development Specialist) for existing clients as well as new potential clients.
  • Followup calls to be made during the week after appointments with new clients (10 calls per week per sales executive).
  • Compile reports for Sales Specialist and BDSs (Business Development Specialist) on hotel occupancies by market segment for 3 months in advance in order to assist with strategic planning of meetings based on hotel requirements.
  • Monitoring the sales team's progress, alerting the BDSs (Business Development Specialist) and Head of Sales to assist in identifying shortcomings and propose improvements in order to assist them to reach their individual targets.
  • Keep track of quotations for sales cluster and assist with followup calls in order to secure business.
  • Tender research and completion of tender documents, as and when required.
  • Distribute correct rates to clients after confirmation from management.
  • Assist the cluster Sales Specialist and BDSs (Business Development Specialist) in their absence where quotes and client assistance may be required.
  • Keep stock of marketing collateral and order stock from the Marketing Department when necessary.
  • Prepare Marketing Packs for the Sales Specialists and BDSs (Business Development Specialist).
  • Ensure that the details of clients on the database in maintained and kept up to date at all times.
  • Manage and keep the database clean.
  • Capture and save correspondence regarding agreements to the relevant client profile on the system and save documentation on the system as well as the server.
  • Ensure that all agreements are completed and signed according to the requirements and relevant policies (STOs, PCOs, Vendor forms, CSD forms, SBD and other documents) and filed on the system and the server.
