    Administrative Assistant


    Job Summary

    We are seeking a highly organized and detail-oriented administrative assistant to support our team. The successful candidate will have excellent communication skills, be proficient in Microsoft Office, and have experience in events administration and finance.


    Daily Duties

    • Email and phone management: Respond to emails and calls in a timely manner, prioritizing tasks and managing daily workload.
    • Website testing: Ensure website links are functional and accurate, making necessary updates as required.
    • Invoicing and debtors: Create and send invoices, manage debtors, and maintain accurate records.
    • Database management: Update the database with relevant information and ensure accuracy.
    • Office organization: Maintain a tidy and organized workspace, including files and office equipment.
    • Backup and storage: Regularly back up important data and store work securely.

    Weekly Duties

    • Payment follow-up: Follow up on outstanding payments and manage bookings.
    • Sage payment allocations: Allocate payments on Sage on Mondays and Thursdays.
    • Sage report pull: Pull reports from Sage for the Friday Finance meeting.
    • Finance meeting feedback: Provide feedback on progress for the week during the Finance meeting.
    • Council liaison: Inform council members of special reports, summarizing information and identifying trends.
    • Meeting minutes: Record ad hoc meetings and minutes as required.
    • Portfolio support: Liaise with all portfolios and provide support and assistance.

    Monthly Duties

    • Statement drawing: Draw and send statements as required.
    • Event management: Assist with managing events, including distributing mailers and overseeing logistics.
    • Long service awards: Manage long service awards, including graduation certificates and annual dinners.

    Events

    • Mailer distribution: Distribute mailers no later than 3 weeks prior to an event if received timeously from Edu.
    • Main event distribution: Distribute mailers for main events no later than 4 weeks before the event.
    • Event hosting: Assist in hosting or arranging events, meetings, and insights.
    • CPD accreditation: Apply and manage CPD accreditation, overseeing certificate distribution.
    • Invitations and booking management: Send invitations to council members, educational programme delegates, and database, managing attendee lists and tracking RSVPs.
    • Invoice management: Invoice as per bookings, following up on payment.
    • Certificate preparation: Prepare documents, including setting up spreadsheets, printing, copying, and binding.

    Requirements

    • Matric certificate
    • Competence in Microsoft Office (Outlook, Excel, Word)
    • Experience in events administration, finance, and customer service
    • Own transport
    • Available to start immediately
