    Job Title: Senior Specialist Operations

    We are seeking a highly skilled and experienced Senior Specialist Operations to join our company. The ideal candidate will have at least 5 years of experience in group operations at a Destination Management Company (DMC).

    This role involves managing all aspects of tour operations, ensuring high service levels, and maintaining strong relationships with suppliers and clients.

    Key Responsibilities:

    • Operate company quoting systems and other travel-related programs effectively.
    • Maintain good product knowledge and geographical knowledge of Southern and East Africa.
    • Prioritize tasks, plan, and meet deadlines in a timely manner.
    • Communicate internally and externally in a professional and effective manner.
    • Provide high service levels at all times and maintain a professional demeanor.
    • Handle pressure and volume by multitasking efficiently.
    • Be on emergency phone duty as required.
    • Negotiate rates and obtain the best possible deals for our clients.
    • Load negotiated rates into the operating system accurately.
    • Use preferred suppliers whenever possible.
    • Visit and familiarize ourselves with the products offered by preferred suppliers.
    • Manage provisional bookings effectively.
    • Run all aspects of tours within budget while maximizing profit margins.
    • Verify that provisional bookings (hotels, guides, coaches, activities, etc.) align with quotes provided to clients.
    • Strive to increase margin without compromising quality or standards.
    • Brief guides and ensure they meet the quality standards set for our tours.
    • Produce guide manuals and oversee the smooth operation of tours.
    • Ensure agent information and tour information are consistent and up-to-date.
    • Assist in handling complaints by gathering feedback from suppliers, guides, etc.
    • Continuously seek new venues and activities to enhance our tour offerings and advise the team accordingly.
    • Take full responsibility for the successful execution of all tours.
    • Complete necessary administrative tasks to facilitate the work of the Accounts department.
    • Achieve given targets and meet performance expectations.
    • Proofread marketing materials sent by agents for promotional purposes.
    • Double-check guides booked for tours to ensure accuracy.
    • Perform any other reasonable work-related assignments assigned by your direct supervisor or another manager.
    • Assist in the management and training of junior consultants.

    Qualifications and Skills:

    • Strong product knowledge and geographical knowledge of Southern and East Africa.
    • Excellent time management and organizational skills.
    • Effective communication skills, both internally and externally.
    • Professional demeanor with high service levels.
    • Ability to handle pressure and multitask efficiently.
    • Strong negotiation skills.
    • Familiarity with travel-related programs and quoting systems.
    • Ability to manage provisional bookings and run tours within budget.
    • Strong problem-solving skills and attention to detail.
    • Ability to train and manage junior consultants.

    Experience:

    • Minimum of 5 years of experience in group operations at a DMC.

    The estimated salary for this position is $60,000 - $80,000 per year, depending on experience and qualifications.
