Executive Support

  • Assist the Executives with daily administrative duties and complete a broad variety of administrative tasks that include managing an active calendar of appointments.
  • Draft reports, letters, and proposals; prepare and coordinate oral and written communication.
  • Plan/ organize and schedule events such as meetings, business luncheons, or client dinners.
  • Handle all aspects of travel planning, including booking flights, hotels, transportation, and preparing itineraries. This may involve both domestic and international travel.
  • Prepare minutes of meetings, distribute them timeously and follow up on assigned action items.
  • Handle any other ad hoc requests.


The above-mentioned responsibilities will primarily serve the Executive Head of IT and the Executive Head of Software Development but similar tasks will sometimes need to be performed for other Executive Heads depending on availability of other Executive Assistants.

Administrative Tasks on Behalf of IT Teams

Certain tasks need to be performed on behalf of teams in IT Operations and Software Development, of which the following are some examples:

  • Prepare and distribute minutes of meetings, e.g. monthly meetings with suppliers,
  • Facilitate ITrelated procurement:
  • Follow up with the Finance team and vendors,
  • Update and distribute a weekly procurement report for followup on outstanding quotations and orders,
  • Report/ review lists e.g. of servers, allocation of software licences etc.
  • Write and update documentation related to standards, processes and procedures,
  • Set up supplier meetings,
  • Follow up on the status of cross department initiatives (e.g. pen test remediation),
  • Follow up on questionnaires for thirdparty information security controls ("Triplicity"),
  • Reconcile billing for Azure cloud services based on an existing template,
  • Prepare status updates including an IT dashboard that summarises service levels, root cause analyses, disaster recovery tests etc.

Qualifications:


Minimum Requirements:


  • Matric and businessrelated post matric qualifications are essential requirements.
  • A degree with business and/ or ITrelated majors is preferred.
Work Experience


Minimum Requirements:

At least 5 years experience in the following fields:

  • Reservation management,
  • Secretarial support,
  • Administration,
  • Writing minutes.

Preferred:


  • At least 2 years experience in an IT environment,
  • Exposure to agile project management,
  • Report writing e.g. management reports and reports requiring a highlevel appreciation of technical concepts.
