Description

Roles and responsibilities

  • Working alongside a project manager to alleviate the administrative burden.
  • Typing of minutes of meetings.
  • Typing of policies, procedures, sequence and interactions, mandatory procedures, forms and
templates, organisational structures etc.

  • Creating presentations on PowerPoint with infographics.
  • E-Mail communication to clients on behalf of project managers.
  • Ensure billing, scheduling, and project management on behalf of the project manager.
  • Creating reports, daily, weekly, monthly for projects.
  • General project administration.
  • Documenting training needs within the departments to enable the organisation to maintain the
management systems.

  • Standardising policies, procedures, forms and templates.
  • Typing of recommended processes and procedural improvements.
  • Typing risk assessments based on client requirements and standard requirements.
  • Observing internal audits and gap analysis audits and compiling audit reports, meeting minutes,
non-conformance reports, and corrective action reports

  • Documenting systems
  • Assisting with client engagements based on their requirements and the scope of work
  • Reporting on all client complaints and satisfaction.
  • Observing problem solving techniques and documenting root cause analysis forms.
  • Quality assurance vetting all processes before submission, spelling and grammar.
  • Attending meetings with the project managers internally and externally and documenting action
items

  • Maintaining a current and accurate filing system (server and projects filing).
  • Utilisations of all project management tools, such as Microsoft Word, Outlook, PowerPoint, Excel,
Access, Visio, etc.

  • Performing other related duties as required.

Minimum Experience & Qualifications Required:


  • Experience in a project coordination/administration role.
  • The ability to collaborate with all levels of support services to ensure delivery deadlines
are met.

  • Must have Xero experience.
  • Using project management tools experience.
  • Valid driver's licence.
  • Matric
  • Utilisation of IT based Project Skills (Scrum, Agile, Waterfall etc.)
  • Knowledge on any Software Program to manage Projects

Ability to commute/relocate:

  • Centurion, Gauteng: Reliably commute or planning to relocate before starting work (required)
