RCL FOODS is seeking a
Van Sheet Controller to join our
Baking Division. The role will be based in Benoni and report to the Financial Accountant. The successful incumbent will need to ensure that an effective system for invoicing of drivers and cod customers is in place in order for quick and daily recovering of cod sales


Duties & Responsibilities:


Sales Order

  • Check the processing and Van sheet documentation of the Van sheet clerks on daily basis:
  • Check Driver name.
  • Check drivers' codes.
  • Ensure money received from the driver balances to the van sheet.
  • All discrepancies must be brought to the attention of the Financial Manager and the Bakery Manager.

Balancing sales on daily basis

  • Ensure that orders taken balance to stock distributed daily.
  • Check all internal documentation to ensure they balance to the Dispatch Recon and Syspro.
  • Ensure that driver details are changed on Syspro.
  • Do a daily driver recon for each driver.
  • Check driver shortages and notify the bakery and Sales Manager when major shortages occur.

Printing

  • Print driver recon, customers pricing and route balancing report for each driver.
  • Ensure that Van Sheets and printed documents are handed to the Van Sheet Filing Clerk daily.

Handle all queries from Van Sheet Clerks

  • Adhere to company disciplinary codes/ structures and take necessary steps when and if needed.
  • Ensure the correct management/supervision of van sheet clerks.

Handle all driver queries.

  • Do necessary adjust as and when a driver request is valid.
  • Confirm all adjustments with the necessary journals with proper authorization from the financial or Bakery Manager.

Daily Sales

  • Accurately process daily sales journals if needed.
  • Maintaining new driver/salesperson.
  • Maintaining new route/geographic area.
  • Maintaining new customer information.
  • Open all new Routes on Syspro.

Van Sheet Processing

  • Monitor, compile and check daily recons
  • Ensure daily signoff of Van sheet recons from the driver & the Van sheet clerk.
  • Assisting branches with cash processing recons and resolving queries. Review age analysis and follow up on anomalies.
  • Be able to process all relevant documentation relating to the van sheet as and when another van sheet ladies is on leave or for some unforeseen reason not at work.
  • Accurate and efficient capturing thereof.
  • Scan all claims on QDocs and save the information to the appropriate Qdocs inbox.

Reporting

  • Daily monitoring of claim tracker report.
  • Report and follow up on old outstanding POD Register and communicate to Financial Accountant and Commercial Financial Manager on the exceptions.

Training

  • Training van sheet clerks on how to use Syspro.
  • Run the dayend for the bakery at large and all the depots.

Minimum Requirements:


  • Matric with Mathematics and or Accounting
  • Post Matric qualification will be advantagous
  • 35 years administration experience
  • Good understanding of financial systems
  • Syspro
  • Good Administration practices
  • Computer literacy Advanced MS office skills
  • Ability to work under pressure and meet strict deadlines
  • Numerical accuracy
