Minimum Requirements

  • A Diploma or Degree in Project or Business management or equivalent qualifications
  • 3 years' experience in managing operations/programs
  • Experience in problem solving, analysis of reports

Programme Operations

  • Coordinate and schedule Programme/Projects meetings and resolve competing commitments.
  • Coordinate travel arrangements for programme staff
  • Ensure all key programmerelated meetings/events run smoothly by sending reminders timeously, preparing agendas when required and attending some of the meetings
  • Keep comprehensive records of all such meetings/events and activities in the most appropriate formats for safe storage and easy retrieval.
  • Assist in compiling programmerelated reports or follow up with internal and external stakeholders.
  • Ensure conducive venues are booked for all programmerelated meetings, training and events and ensure all such programme events/activities and materials are always appropriately branded in line with Funder Rules and Regulations

Project Operationalisation

  • Provide support to district teams to ensure processes and operations to support the implementation according to approved work plans to set outputs are in place.
  • Operate as a point of contact between the district offices and the Provincial Programme Support office and key personnel on project performance and delivery.
  • Ensure procurement of office and other supplies for the programme offices and support facilities in line with set procurement procedures
  • Compile monthly reports on vehicle status & usage, fuelissued, servicing, etc.
  • Responsible for fleet operation tracking and reporting, including the creation of performance, efficiency, vehicle/equipment maintenance and reports.
  • Ensure that all District Managers understand and procure the licenses and permits needed
  • Reduce downtime due to repairs or lack of routine maintenance
  • Ensure that all log sheets are accurate and submitted
  • Maintain electronic databases inspections and maintenance of fleet management.
  • Monitor and ensure fleet operation in compliance with local rules and regulations.
  • Develop and maintain the project asset list, including quarterly audit
  • Ensure all assets are tagged as per donor requirements
  • Initiate and track procurement for the project
  • Facilitate logistics of material/equipment from head office to District offices
  • Provide support to the District teams to ensure office security and maintenance to ensure a safe working environment
  • Identify bottlenecks and operational solutions to operational obstacles
  • Review operational policies and advise on policies and SOPS that will ensure accountability and speed of implementation of the programme

Governance, Reportingand Self-Management

  • Record keeping of all reports and essential information
  • Compliance with all relevant legislation relating to the project
  • Managed compliance with the relevant laws and related frameworks and ensured adherence to best practices and standards of the project
  • Ensure THINK vision, mission and values are reflected in all job outcomes
  • Comply with all THINK rules and regulations and policies and procedures
  • Be passionate about making the difference and add value to THINK
  • Perform other duties as required
