Description

To administer the rental process and maximize revenue by serving and supporting the customer through telephonic gathering of data ,providing expert advice, provide quotations and follow up support and administer the rental process, and ensuring orders for all machines working on site.


To coordinate with operators to ensure machine utilisation and availability and to coordinate with drivers to deliver and collect rental equipment efficiently.


To ensure accurate and timeous delivery of customer invoices and statements and collection of customers debtor's book. To ensure correct orders and Service lines are used as per the contract for invoicing.

Main Outputs and Responsibilities for This Position

The Job is responsible for the following:
Performance Area

Responsibility

Logistics Coordination

  • Plan deliveries and collections as per customer request.
  • Communicate delivery and collection plans with drivers
  • Ensure the vehicles (trucks and bakkies) are inspected daily
Operator Administration

  • Plan operator allocation with Supervisor
  • Plan job scopes with QC's and coordinators
Commercial Administration

  • Follow up on expiring customer purchase orders
  • Ensure all machines working has PO's
  • Daily (anniversary) and monthly invoicing ensure the correct rates and dates are billed to minimize credit notes.
  • Ensure that the customer receives all outstanding invoices timeously.
  • Visit customers immediately should a customer account fall into arrears status.
Safety

  • SHE rep management: Notifies SHE reps for submission of SHE rep inspection reports.
  • Ensures SHE reps are trained and appointed.
  • Ensure all Legal Appointments are in file and updated.
  • Assists safety team with launch and implementation of safety campaign activities.
  • Ensures services are rendered as per agreed schedule (medical waste, pest control, deep cleaning) or as when required (general waste, steel waste, contaminated waste)
  • Coordination of External safety related services Liaises with external suppliers on services needed.
  • Prepares reports and communicates with departmental managers.
  • Maintain Site/Client Safety File according to scope.
General

  • To ensure that a professional image is always projected.
  • To ensure that the quality of service that Eazi Access Rental provides and the satisfaction of its customers, are treated with the utmost importance at all times.
  • To ensure that all duties within the branch are carried out safely and in accordance with all company and legal requirements.
  • To ensure that confidentiality in all Eazi Access Rental matter is maintained

Qualifications
Minimum

Grade 12

Recommended

Diploma in Financial Management, Safety Related course

  • SAMTRAC will be an advantage.

Experience

  • Minimum 3 years' Site experience
  • 3 years' office management experience
  • Experience in Occupational Health and Safety (Administrative)
