Our client, a specialist in the commercial property field, is looking for a Secretary/Administrator to join their team based in Century City, Cape Town.

Overview

To provide full administrative and secretarial support to General Manager, Accountant, and Director. To ensure the smooth management of day-to-day affairs within the company.

Manage sensitive and complex issues in a professional and objective manner. Take initiative as required, especially in the Director's absence.

Full minute-taking of all meetings.

Arranging meetings and preparation of reports.

Assisting with arranging flights and accommodation as requested.

Minimum Requirements

Grade 12/ Matric.

4 years of experience as a Front Desk secretary / Office Assistant, and general office administration.

Fluent proficiency in the English language, both verbally and in writing.

Able to work independently.

Positive Attitude.

Dependable and punctual.

Well-groomed and presentable always.

Driver's license and own reliable transport.

Attention to detail.

Excellent typing skills with speed and accuracy.

Excellent minute-taking skills.

Ability to enter data accurately, as well as check and correct errors.

Ability to prioritize tasks according to importance in a fast-paced environment.

Multi-tasking capability without compromising on quality.

Must be proficient in handling office equipment, including laptops, printers, and phones.

Knowledge of MS Word, Excel, and PowerPoint.

Willingness to work after hours when required.

Responsibilities

Schedule internal and external appointments for General Manager and Director when requested.

Ensure all appointments are captured in the Director's diary and electronic calendar.

Management of internal and external meetings (rescheduling when necessary and providing relevant materials prior to the meeting).

Constant on-time reminders for meetings to staff and clients.

Coordinate client and staff meetings where necessary.

Draft letters and documentation as and when requested.

Handle couriers of confidential documents from Attorneys and Conveyancers.

Assist in arranging all air tickets, accommodation, and car hire for General Manager and Director when and if required.

Order office stationery.

Order and provide refreshments for meetings and guests, monthly as requested.

Purchasing ad hoc items as and when necessary.

Always ensure sufficient office supplies and consumables.

Organize catering for company meetings and events, as required.

Meet and greet all visitors of seniority and those with appointments.

Ensure all office systems are maintained and functional.

Ensure all filing is accurate and up to date.

Consistently update all employee and management files.

Ensure safe storage of all confidential documents.

Full minute-taking function and compilation of minutes for all meetings.

Manage cleaning staff and maintain cleanliness and orderliness of the office.
