Duties and ResponsibIlities

  • Attend Branch stocktakes (at branch site and offsite warehouses from start to finish. (Approximately 8 stocktakes every week over an 8week period, every quarter). Stocktakes generally held on a Thursday (afternoon/evening), Friday (may extend into the evening), sometimes on a Saturday.
  • Independently verify that accounting records accurately represent the physical stock on the floor. Assess quality and condition of stock for impairment.
  • Perform planning and analytical procedures prior to the count to identify areas of risk and potential stock writeoffs. Perform analysis and comparisons from previous stocktakes, taking into account stock losses from cycle counts and stockadjustments.
  • Ensuring that stock valuation is accurate.
  • Perform testing at the stocktake ensuring the stocktake procedures are followed by the Branch.
  • Walkthrough of the warehouse to identify stock to be counted / stock to be excluded from the count, stock adjustments and physical stock agree (stock to be dumped or returned to suppliers), risk of theft during the count is reduced (blindspots).
  • Ensure prior and after the stocktake that the necessary ERP/BI reports are run and agree to the Branch reports.
  • Perform and document sample counts and ensure that it agrees to branch counts and captured quantities.
  • Ensure that proper cutoff is done by the Branch, by reperforming cutoff testing.
  • Identifying slow or obsolete stock that should be writtenoff / segregated form the count.
  • Identifying expired stock to be written off.
  • Review manual stationery relating to stock and reperform procedures to ensure that necessary documents have been processed.
  • Ensuring count team controls are adhered to. Shadow teams during the count.
  • Ensuring that manual count sheet administration and controls are adhered to.
  • Ensuring scan enabled warehouses necessary count procedures are followed.
  • Run variance reports and agree this to the Branch reports and to the ERP system.
  • Perform own sample variance counts and ensure that final variance values are accurate.
  • Review that OHS and Food Safety standards are followed at stocktake.
  • Review property inspections whilst at the stocktake.
  • Ensure that gains and losses are approved prior to posting of stock entries.
  • Liaison with branch management and person responsible for the stocktake.
  • Documenting work done on working papers to be presented for review to the Audit Manager/Audit Executive.
  • Drafting of audit findings noting areas of weakness/deficiency with stocktake and operational control breakdowns, draft recommendation to improve controls and procedures. Draft audit report for management comment after the stocktake.
  • In periods between stocktakes assist audit team with projects, data analytic testing and control selfassessments.
  • Perform adhoc tasks assigned by management.
Qualifications, Experience and Requirements

  • Bachelor's degree in business/ internal audit/finance or related field a plus
  • Minimum Three (3) years' experience as an inventory auditor or stock controller, warehouse operational background (FMCG)\
  • Proficient computer skills, including Microsoft Office Suite (Word, Outlook, and Excel), ERP and BI systems
  • Mandatory: Being able to work at heights (medically fit and certified to work at heights training to be done by the company)
  • Able to work in a freezer/chiller environment
  • Physically able to stand and walk for extended periods.
  • Excellent verbal and written communication skills
  • Able to work night, weekends, extended hours, and potentially holidays
  • Vehicle and valid drivers licence. Will be required to drive to nearby cities from Johannesburg.
  • Up to date Passport
  • Availability to travel extensively and reside away from home at least 3 to 4 nights weekly in an 8week period, every quarter. (both locally in South Africa and in neighbouring countries)
