    Description

    A key role exists for an Operations Manager at Medipost Pharmacy Production Department. The purpose of the position is to manage the processing of funded prescriptions, ensuring professional service is provided to Medipost customers within SLA requirements and business expectations.

    Operations and Quality Performance

    1. The successful candidate will have a professional impact and ability to build a performing team easily.
    2. They will be responsible for professional interaction with other internal departments.
    3. Managing Production Managers to ensure compliance with Medipost Pharmacy and GPP rules is crucial.
    4. Ensuring adherence to all Service Level Agreements is vital.
    5. Managing all statuses in the business from status 70 to status 95 in accordance with SLAs and Business SOPs is essential.
    6. Managing the daily influx of WIP is a key responsibility.
    7. Maintaining and providing input regarding SOPs to ensure standardized business process execution is important.
    8. Managing the Oncology and Special Meds areas to ensure proper and effective processing of prescriptions is critical.
    9. Monitoring personnel statistics and reporting through the Production Managers is necessary.
    10. Assisting staff and managers with general queries is an important aspect of the job.
    11. Providing accurate and quick responses to other departmental queries and diligence with follow-up work within SLA requirements is essential.
    12. Contributing positively to a motivated team of high-performing staff and maintaining a positive working environment is vital.
    13. Conducting interviews to identify the best possible candidates within the company transformation strategy is a key responsibility.
    14. Ensuring proper handling of necessary disciplinary actions is important.

    Process Management

    1. Ensuring SLA adherence on or above 99% at all times is crucial.
    2. Managing the Oncology and Special Meds departments to meet patient and practice expectations is essential.
    3. Specifying quality requirements and implementing processes to monitor and maintain excellent standards is important.
    4. Managing output per department and monitoring performance is necessary.
    5. Assisting with optimizing Stock Management and Controls is a key responsibility.
    6. Ensuring Health and Safety as per Policy is applied in the division is crucial.
    7. Responsible for implementing and maintaining Good Pharmacy Practice rules and regulations is a key aspect of the job.

    General Management

    1. Analyzing complaints and implementing processes to ensure compliance with Company Policies, SOPs, and guidelines as per the South African Pharmacy Council is important.
    2. Determining in-house quality procedures, standards, and specifications is crucial.
    3. Assessing client requirements and ensuring they are met is a key responsibility.
    4. Setting client service standards and implementing controls and checks is essential.
    5. Compiling and presenting managerial and technical reports in applicable forums is necessary.
    6. Acting as a catalyst for change and improvement in performance and quality of processes in Production is vital.
    7. Managing expenses with reference to vacancy budgets and other operational expenses is important.
    8. Directing objectives to maximize profitability is a key aspect of the job.
    9. Managing Monthly Targets by ensuring capacity and applicable time allocations is necessary.
    10. Optimizing utilization of operational capacity to ensure SLA adherence is crucial.
    11. Conducting capacity planning and budget setting for the financial year is a key responsibility.
    12. Maintaining a close working relationship with other operational heads to ensure new projects are planned and implemented as expected is important.
    13. Ensuring and maintaining a good working relationship with all departments in the Medipost Group is crucial.
    14. Conducting risk management through analyzing processes, employee behavior, and general operations is a key aspect of the job.
    15. Ensuring the Production area complies with housekeeping standards is necessary.
    16. Ensuring all processes within the Production area comply with GPP is crucial.

    People Management

    1. Applying Change Management to ensure proper and effective implementation of Business Strategies and Goals is important.
    2. Managing Production Managers and their respective departments in accordance with Company Policies and Procedures, as well as relevant SOPs is crucial.
    3. Working closely with the Human Resource Department to ensure proper and appropriate employee engagements is a key responsibility.
    4. Monitoring the quality control processes daily to ensure a reduction in errors and service failures is necessary.
    5. Determining training needs and liaising with MTA to ensure employee upskilling is important.
    6. Conducting service failure analysis, identifying root causes and employee engagements is a key aspect of the job.
    7. Building and developing a positive team is crucial.
    8. Identifying and developing high-potential individuals is a key responsibility.
    9. Implementing succession planning through upskilling of employees is necessary.
    10. Ensuring staff retention ratio complies with company standards is important.

    Minimum Requirements

    • B Pharm degree
    • Minimum 5 years' experience in Management
    • Registered at SAPC
    • Strategic Management skills
