Totalstay, a leading property management company, is seeking a dedicated and detail-oriented individual to join our team as an Administrator.

In this role, you will play a crucial part in ensuring smooth operations, managing administrative tasks, and fostering strong relationships with owners and suppliers.

Responsibilities:


General Administration:

  • Perform daytoday administrative tasks, including managing files, organizing documents, and maintaining records.
  • Prepare reports, presentations, and correspondence as required.
  • Maintain office supplies and equipment, ensuring efficient and wellstocked inventory.

Stock Ordering and Procurement:

  • Place orders for required supplies and equipment in a timely manner.
  • Coordinate with vendors and suppliers to ensure timely delivery of goods.
  • Maintain accurate records of all stock orders and related transactions.

Stocktakes:

  • Conduct regular stocktakes to monitor inventory levels and identify discrepancies.
  • Reconcile stock levels with records and investigate any discrepancies.
  • Provide accurate reports on stock levels and suggest improvements for inventory management.

Building Relationships:

  • Foster positive relationships with property owners, suppliers, and service providers.
  • Communicate effectively and professionally with stakeholders, resolving any issues or concerns in a timely manner.
  • Maintain a strong understanding of the company's portfolio and various property types.

Requirements:


  • Previous experience in administrative roles or similar positions is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize workload effectively.
  • Proactive and selfmotivated with a problemsolving mindset.
  • Ability to build and maintain professional relationships.
  • Familiarity with stock ordering and procurement processes is a plus.
  • Knowledge of property management operations is an advantage, but not essential.

Salary:
