SUMMARY OF POSITION
The Operations Manager will be responsible for managing the projects, operational staff and overseeing their daily tasks.


ROLES AND RESPONSIBILITIES

Managing Operational Staff

  • Meet with Branch manager to discuss team skills and performance. Assist with performance and talent reviews as required.
  • Review team performance in terms of workmanship are installations completed according to the client and Interconnect specifications and standards.
  • Discuss any employees with a poor attitude or that negatively impacts the team environment with the Business Unit Manager or Branch Manager, to determine a strategy to deal with the employee.
  • Continuously upskill operational employees to ensure sound knowledge of technical skills and installation standards.
  • Discipline staff when required, ensuring that Branch Managers / Business Unit Managers do not need to deal with smaller disciplinary issues.
  • Implement plans to actively reduce absenteeism. Identify employees who are often late or absent and address this issue with the employee.

Scheduling and Coordination

  • Schedule jobs and daily tasks for the Operational Teams to maximise productivity. Ensure that job scheduling is done in such a way that teams are utilised to play to their strenghts and work where they are most effective. Communicate scheduling with relevant stakeholders (stores, admin, teams, safety etc)
  • Ensure that the coordination of scheduling with clients takes place, to ensure availability of client resources on the day that the job is scheduled to take place.
  • Constantly monitor the flow of work, to identify potential problems and challenges before they occur and adjust planning and scheduling accordingly. (A poor performer in this instance will constantly have to manage in crisis mode, due to poor planning and foresight)

Management of Resources

  • Schedules and manages all resources required for a project / job, ensuring procurement of materials is done timeously and effectively, to minimise wastage or unneccesary purchasing of materials.
  • Be aware of stock levels (ensure minimum levels are maintained) to ensure that stock is available for installations.
  • Ensure installations are completed in a timely manner, by effectively manages and controls the usage of materials and man hours. Provide teams with deadlines to complete installations and push them to ensure that those deadlines are met.
  • Follow the necessary procedure to address a team that is underperforming constantly not meeting deadlines or not reaching team targets.
  • Overtime is authorised in accordance with Company Policy and Project Plans. Minimise overtime of teams by ensuring proper planning and resource management takes place.

Quality Assurance and Client Management

  • Regularly inspects sites to determine quality assurance. Provide weekly site visit report and QC checklists to Business Unit Manager or Branch Manager.
  • Continuosly inspect the quality of work on site:
  • During an installation, to ensure that any problems are corrected as soon as possible.
  • After an installation, to sign off on the Quality Assurance documents for the installation. "
  • Spend the majority of time on site meeting with clients, inspecting job sites and assisting the teams as required
(Guideline:

Leave office no later than 10H00 in the morning and return no earlier than 15H00, unless specific planning or meetings are taking place)

  • Introduce self to clients and build relationships with clients on site to ensure client satisfaction with installations and to promote future business from the client.

Managing Projects
-
It is important to note that this is not a primary function for the Operations Manager, he will only assist a Team Leader or Project Leader in this area._

  • Accurately draft a project plan and identify critical areas to discuss with the relevant stakeholders (Client, Project Leader, Business Unit Manager and/or Branch Manager). Assist in updating of Project Plan when required.
  • Attends project meetings when required and receive regular feedback from Project/Team Leaders to update Project Plans.
  • Provide guidance to Project/Team Leaders with job related issues assist them in identifying the issue and how to resolve it. Provide resources as required, but allow the Project / Team Leader to see the job through do not take over difficult installations and neglect other duties, unless absolutely necessary.

Administration

  • Review all documentation relevant to installations received from Team / Project Leaders, before the documents are submitted to the Admin Department.
  • Once sign off for a job has been received, ensure WIP is checked and finalised before the job is closed and invoiced.
