Payroll Administrator


We are seeking a motivated and enthusiastic Payroll Administrator to join our team As a Payroll Administrator, you will be responsible for ensuring every member of our company is paid correctly.


Duties & Responsibilities

  • Audit all employee master data and transactional payroll submissions for adherence to:
  • Appropriate authorisations, and
  • Compliance with Company policy requirements.
  • Check all input documents before capturing to ensure that all fields are correctly completed and the document is properly signed off and authorised.
  • Develop an employee record on the Sage VIP Classic System by processing employee data and remuneration directives from sign on pack.
  • Generate time and payroll simulation for employee, verify for errors and correct such errors.
  • Update VIP with third party benefit information by capturing feedback responses from third party benefit providers.
  • Verify correctness of data template to source data, correct errors and upload data on the system.
  • Upload contractor information onto the employee record on the system by using information on the signon pack.
  • Complete company insurance claim forms with Embedded HR and submit to third party company.
  • Calculate redundancy values and use to compile redundancy agreement.
  • Process briefing with employee by ensuring that correct processes and procedures were followed and that all relevant documentation was completed.
  • Calculate final separation values to establish leave compliment payout, pension payout, overtime, and any other funds due either to the Employee or the Organisation.
  • Capture Employee Data on VIP and verify that input is correct.
  • Activate employee increase on master data and identify data mismatches by running reports and audit trails and verifying data on the system.
  • Determine system amendments required on system for rewards administration.
  • Validate percentage applied to data if calculations are not required and calculate reward value per employee if calculation is required.
  • Validate data according to rules of reward calculated and amend as per instruction from HR.
  • Identify data mismatches by running reports and audit trails and verifying data on the system.
  • Extract applicable data from the system for the payslip.
  • Compile payslip as per Business Unit requirements.
  • Upload VIP employee data change or update VIP accordingly by interpreting employee data maintenance request received from HR.
  • Prepare and check reports and data for accuracy by verifying correctness of input to source documentation.
  • Initiate / take corrective action for any errors found.
  • Check payslips according to standard procedures.
  • Print documents according to requirements and verify that printing is correct by comparing output to source data and take corrective action for errors found.
  • Respond to queries (From HR and Finance).
  • Respond to requests (prioritise as appropriate), investigate problems and develop remedial plans to resolve queries that have been escalated within acceptable time parameters, further escalating problems as appropriate to enhance timeous resolution
  • Actively pursue the exchange and preservation of information between operations and individuals to facilitate effective knowledge management according to organisational objectives.
  • Builds relationships with others in the Company by sharing business information and knowledge.
  • Assist and contribute to maintaining SLA delivery to the customer by supporting the Service Management Framework.
  • As and when required by the customer, be available to participate / conduct employee briefing sessions
  • Creating salary sheets and reports.
  • Gathering and maintaining employee records.
  • Verifying working hours and pay rates.
  • Tracking employee absence.
  • Ensuring compliance with laws and regulations.
  • Handling payment issues.
  • Assisting the accounting department.
  • Collaborating with other financial personnel.
  • Basic HR Administration.

Desired Experience & Qualification

  • Minimum diploma in accounting, Finance or Business Administration
  • Minimum of 5 years of experience in payroll office administration
  • Proven VIP Sage classic experience
  • Knowledge of legal regulations
  • Proficiency in MS Office
  • Proficiency with payroll VIP Sage classic experience
  • Proficiency with SYSPRO
