Description
We have an exciting opportunity for a Financial Administrator to join our Finance Department.

This role aims to provide accounts administration support to the Financial Accountant and Financial Controller by ensuring that the processing of account payments are effective and accurate in order to enhance the efficiency of the department.


Key Responsibilities

1.
Balance Sheet Reconciliations

  • Assist with Balance sheet reconciliations monthly according to the timeline provided by management.
  • Cashbook and Bank Reconciliations and Suspense Account.

2.
Cashbook and Bank Reconciliations and Suspense Account

  • Ensure that all entries are allocated correctly general/supplier/customer account.
  • Credit card and petty cash are to be imported and reconciled monthly.
  • Reconciles the bank account against the pastel accounting system.

3.
Creditors Capturing & Reconciliation and Resolution and Correction of Debtor Queries and Accounts

  • Uploads and sets up all creditor invoices accurately onto the Pastel accounting system.
  • Checks that all invoices captured onto Pastel are paid in line with the payment terms of the creditors.
  • Communicates with suppliers regarding invoice amounts that are incorrectly processed or when there is a variance to ensure that correct amounts are invoiced.
  • Contacts the creditors with regards to outstanding reconciling items and / or invoices.
  • Prepares a monthly reconciliation for all creditors.
  • Check that invoices are signed off by relevant person in terms of Delegation of A and valid tax invoices.
  • Interaccounts bank transfers.

Payment of Suppliers

  • Ensures that all payments made to suppliers are prepared accurately and timely prior to it being approved for payment and that all invoices received are valid invoices.

Documentation Backup

  • Ensure that creditors' invoices are electronically backed up (scanning and saving to the network).
  • Archiving prior years' invoices and payments.

6.
Finance Administration

  • Effective administration of the petty cash and ensures that the cash is accurately reconciled.
  • Adheres to the financial department's processes and procedures when processing of invoices and journals to ensure good governance.
  • Assists with ad hoc finance tasks upon request such as obtaining stationary, etc.
  • Ensure all transactions have been captured correctly.
  • Assist in preparing monthly journals on Pastel accurately and in line with month end deadline.
  • Assist finance team with adhoc finance operations duties.

Qualifications and Experience

  • Diploma in Finance/Accounting preferred
  • Minimum of 2 years' experience in a similar role, Creditors, Banking, Pastel experience

  • High level of Accuracy in preparing & entering financial information

  • Working knowledge of Captivate
