Humana People to People in South Africa (HPPSA) is a registered South African non-profit organization founded in 1995 with the mission of empowering the poor to lift themselves out of poverty and contribute to the development of their own communities.

Today, HPPSA employs 287 people in 5 provinces (Gauteng, Limpopo, Mpumalanga and KwaZulu-Natal and Eastern Cape) and reaches over 300,000 people each year.

The organization has a portfolio of activities in child and maternal health, hygiene, and elimination of malaria; HIV and AIDS, STI, TB, and NCD mobilization, prevention, and screening.

The organization also works to support small-scale farmers, improve the environment, increase food security, and provide early childhood education.


Humana People to People in South Africa seeks to recruit a
Grant Administrator to be based in National Partnership Office, Westrand Johannesburg.

The selected person will perform the Grand administrative tasks timeously and with precision.


Key responsibilities

  • Prepare and review budgets for all proposals out of the National Partnership Office, ensuring high quality standards and optimum cost recovery in alignment with organizational and funding partners' requirements.
  • Communicate with funding partners to help resolve specific problems or respond to funding partners information requests.
  • Provide technical guidance and support in setting up systems to monitor adherence to financial and procurement rules e.g., cofinancing, exchange rates, interest, and budget rules in line with contractual requirements.
  • Support to ensure partner subgrants are disbursed and accounted for in line with contractual requirements e.g., preassessments, budget tracking, procurement, reporting and capacity building.
  • Provide technical support to ensure effective income tracking including cash flow, prefinancing, timely and accurate payment requests and tracking outstanding amounts due from funding partners.
  • Track, document and disseminate funding partners reporting trends, quality assurance issues and feedback from funding partners.
  • Support contract management capacity development through inception workshops, coaching, mentoring, online training, and other support as required.
  • Participate in community practice on institutional income planning and contract management.
  • Regular followup monitoring and management reports against key indicators, taking appropriate action where necessary including flagging risks for appropriate management action.
  • Guidance on and review of narrative and financial reports to ensure quality assurance before submission to funding partners.
  • Technical guidance and support in preparing for and managing funding partners audits including liaison with auditors and negotiating contested findings where appropriate.
  • Overseeing financial and program archiving procedures to ensure all required expenditure support documentation is properly maintained and availed when required.

Education/Knowledge

  • Minimum undergraduate degree and/or professional qualification in Accounting, Finance, Business Studies, Auditing, or related field.
  • English Language proficiency.
  • Experience of managing grants/contracts from institutional funding partners such as EU, Global Funds, DFID, USAID, UN Government Departments and Corporate Companies with ability to provide clear guidance on funding partners policies and procedures to other staff.
  • Experience of setting up and managing funding partners compliance monitoring systems, developing, and implementing relevant tools.
  • Strong financial skills encompassing proposal budgeting, income tracking, budget monitoring and financial reporting.
  • Experience of working in a large diverse team and distance support.
  • Willingness to travel up to 25% of the year.
  • Previously demonstrated ability to work as part of a team and interact with all levels of staff and management.

Work Experience

  • 35 years relevant experience in the Grand Administration role
  • MS Office
  • Must have knowledge of Excel spreadsheets/formulas, Word, and PowerPoint.
  • Report Writing Skills

Pay:
R30, R35,000.00 per month
