Key Responsibilities:
- Greeting and
Welcoming Visitors:
Serve as the initial point of contact for clients, guests, and vendors entering the office. Greet them in a friendly and professional manner and direct them to the appropriate person or department.
- Answering and
Directing Phone Calls:
Manage a multi-line phone system, answering incoming calls promptly and transferring them to the appropriate staff members or departments.
Take accurate messages when necessary and ensure timely delivery.- Scheduling and
Managing Appointments:
Coordinate appointment scheduling for clients and staff using the company scheduling software. Ensure that meeting rooms are prepared and appointments are accurately recorded in the calendar.
- Handling Incoming and
Outgoing Mail:
Sort and distribute incoming mail and packages to the appropriate recipients. Prepare outgoing mail and packages for pickup or delivery as needed. Maintain accurate records of mail and package deliveries.
- Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times. Ensure that reading materials and promotional materials are stocked and neatly displayed. Notify appropriate personnel of any maintenance or repair needs.
- Providing Administrative Support: Assist with various administrative tasks, including data entry, filing, copying, and scanning documents. Collaborate with other administrative staff to ensure efficient office operations.
- Assisting with Projects: Support the organisations initiatives by participating in special projects or events as assigned. This may include assisting with marketing campaigns, organizing company events, or conducting research.
- Upholding Security Procedures: Monitor visitor access and maintain security by following established procedures and protocols. Issue visitor badges as necessary and notify appropriate personnel of any security concerns.
Requirements / Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience in a receptionist or customer service role, preferably in the insurance industry or a related field.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Professional demeanour and appearance.
- Ability to remain calm and composed under pressure.
- Familiarity with office equipment such as multiline phone systems, printers, and copiers.
