    Purpose of the role:

    The IT Governance Managers key objective is to drive and support company wide application of consistent project management processes, methodologies, and terminology to improve overall technology related project delivery, customer satisfaction, project quality and optimal project cost delivery. This role is also responsible for the formulation of a company Wide IT Contracts, and enhancement and consistency of IT General Controls

    Key Responsibilities and Duties IT Technology Portfolio Management

    • To establish, implement, develop, and control best practices for project management across all operating entities for Technology related projects. This includes defining and documenting all policies and processes of project lifecycles in order to deliver these projects according to plan and within budget.
    • Develop best practices, techniques, and tools for project planning, execution, project management, ongoing milestone/deliverable tracking, communication, and key performance metrics.
    • Drive the Technology project portfolio best practices and disciplines across all company operating entities ensuring consistency of project management practices and ensuring an accurate comprehensive view of the enterprise wide IT Technology Portfolio.
    • Defining and implementing optimal process for project entry to the IT Technology Project Portfolio
    • Define how the scope, goals, and deliverables of Technology related projects should support business goals, in collaboration with senior management.
    • Support project initiatives, including identifying and analysing preliminary business needs, budget considerations, time and resource estimates, defining the project scope and objectives, and getting business user sign-off.
    • Ensure project scope and business benefit is clearly defined and understood across the stakeholder base.

    Contract Management

    • Formulate and maintain an enterprise-wide view of IT related key strategic and operational contracts reflecting nature of the contract, contract start and termination date and cost commitment.
    • Proactively report on approaching contract terminations and drive the contract renewal process.
    • Assist the company Technology Manager in contract financial management, validating cost and services rendered and processing Vendor invoices for payment.
    • Tracking of actual costs to budget confirming variances and highlighting nature of variances.

    IT Technology Portfolio Risk and Governance

    • Proactively identify risks and opportunities of both business and technical plans; identify risk mitigation strategies and contingency plans for all identified risks.
    • Maintain the IT Technology Portfolio issues and risks matrix log.
    • In conjunction with the project sponsor and Technology Project Managers, provide a detailed plan of how project risk will be managed or eliminated.
    • Provide a weekly IT Technology Portfolio level status report with major risk factors when the mitigation approach impacts the project timeline, budget or objectives.
    • Coordinate the IT Technology risk management plan and risk mitigation strategy across all technology related projects within the IT Technology Portfolio and manage the execution within the individual projects.
    • Facilitate and co-ordinate the external IT General controls review.
    • Validate audit finding and co-ordinate appropriate responses from IT Leads and ensure appropriate corrective action and mitigation plans are formulated and executed on.
    • Ensure consistency of IT General controls are applied across all company operating entities where appropriate.
    • Ensure IT Policies and Procedures are updated, maintained and aligned with Audit recommendations and IT Governance and security best practices.
    • Formulate and maintain consolidated IT Technology Portfolio and Operational Risk Register ensuring risks and issues highlighted are assigned to an appropriate owner and that timeous risk mitigation steps are put in place.

    Other Responsibilities:

    • Evaluate and implement an agreed formal transition management process, which will transition technology related projects from project mode to operational run mode in a controlled and structured manager, ensuring that the Service Management function is adequately equipped to support and maintain solutions post project closure.
    • Assist in the development and implementation IT Governance, Risk Management and Compliance policies, processes, procedures, and IT controls training materials to keep IT colleagues informed of relevant industry, legislative and regulatory requirements, and changes

    • Continue professional development through attendance in company meetings, professional seminars and conferences.

    • Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.
    • Inform relevant parties in the event of tasks or deadlines not met, the potential risks thereof and provide appropriate resolution.

    Knowledge / Experience and Education

    • Solid IT grounding across broad IT Technology and applications landscape
    • Min of 7 years experience obtained through expose to diverse facets of IT
    • 3 Year relevant degree or diploma
    • Sound knowledge and experience in service management / project methodologies i.e. ITIL, Prince 2 / PMBOK
    • Proven track record in structured analytical problem solving
    • Good negotiation and influencing skills
    • Exposure to Cyber Risk and Governance frameworks
    • Demonstrate effective communication, both orally and in writing, with subordinates, colleagues, clients, and customers including producing reports, preparing, organising and delivering presentations using appropriate tools and techniques, and taking a leading role in meetings and discussions.
