Job Description:

Operations Wage Administrator

Position Purpose:
The Operations Wage Administrator is responsible for controlling all wage administration as well as time and attendance processing.

The individual will be responsible for validating; updating and reviewing the weekly time and attendance hours to ensure accurate payments are processed every week and will partner with the Payroll Team, the Regional Operations Team to ensure all queries are timeously and efficiently managed.


Responsibilities:

The position requires sound administration and analytical skills. The individual must have the ability to deal with numerous activities simultaneously and meet conflicting deadlines.

Good communication skills are essential as the position requires interaction with management and staff in the operational service centres.

The position will focus primarily on the following areas of responsibility:
Time and Attendance

  • Ensure accurate capture of all Operations wage employee working hours into the Time and Attendance System, Kronos.
  • Responsibility to conduct sign off on weekly wage hours on Kronos on behalf of Ops Manager when required in situations where the Ops Manager is unavailable, on leave, or has no system access.
  • Capture wage employee Leave requests into Kronos.
  • Communicate changes in clocking's and attendance to Ops Supervisors, and Managers.
  • Review and maintain Pay Rules and Pay Schedules in Kronos.
  • Kronos Workforce upgrade to Dimensions, testing to be done and train the managers on how to operate the new system and sign off weekly hours.
Payroll Admin

  • Ensure all payroll deadlines are met for wages to be paid as per monthly schedule.
  • Resolve individual pay queries with wage employee, service centres and payroll as required.
  • Coordinate employee status changes between Operations and Payroll for new engagements, transfers, promotions, terminations, acting allowances etc.
  • Ensure all wage employees leave forms for annual/sick/unpaid/AWOL hours are accurately maintained on file for verification purposes related to bonus payments.
  • General administration related to wage employee personnel files.
Reporting

  • Run exception reports and check overtime hours and advise Ops Management.
  • Additional reporting as required by management
  • Analyse and identify excessive overtime and advise Ops Management.
  • Identify areas with high staff turnover.
  • Monitor abuse of sick leave and advise Ops Management
  • Assist with the preparation of statistical reports on overtime hours, manpower figures, absence figures etc. as required.
  • Identify areas of high cost and make recommendations to minimise labour costs.
  • Maintain awareness of the financial impact of labour costs on the organisation.
General

  • Maintain and update departmental filing system which ensures documentation is easily accessible.
  • Assist with wagerelated ad hoc projects.

Qualifications:

Matric

Tertiary - Appropriate Administrative Qualification/ Diploma.

Driver's License

Experience

3 Years general administrative experience in a pressurised environment with tight deadlines.

Experience with Time & Attendance systems especially with troubleshooting problems and software updates.

Experience with SAP will be an advantage.

Knowledge of labour legislation.

Knowledge of payroll processes will be an advantage.

Skills and Knowledge

Technical competence with computer systems - Microsoft Excel, SAP, Kronos Time & Attendance.

Well-developed oral and written communication skills.

Ability to analyse data.

Ability to demonstrate flexibility to deal effectively with change.

Drive and Delivery - showing commitment to deliver to agreed deadlines.

Decision Making - ability to prioritise and work under pressure

Confident - self-motivated with the ability to show initiative.

Ability to work independently with mínimal supervision.

Ability to maintain a high level of accuracy

Personal - A team player is essential, accurate with an eye for detail and highly numerate.

Preferred Education

Diploma - Business Administration/Manage
