- Maintaining accurate data capturing of all firearms on DMS.
- Updating firearm status and transfers on DMS.
- Loading required documents (CIIVs, Incident Reports, SAPS 136 forms) onto the system.
- Liaising with Asset Department to ensure asset numbers are captured for new firearms.
- Collaborating with Finance Department to ensure site codes and names for new contracts are transferred.
- Maintaining accurate databases of firearm competency, DFO and Issuing Officer Appointment letters.
- Conducting regular audits to ensure correct capturing and loading of documents by branches/sites.
- Identifying and addressing risks related to security officer competency.
- Liaising with branches/sites regarding risks identified and ensuring confirmation of withdrawn firearms from non-competent officers.
- Analyzing, coordinating, verifying, and confirming monthly reports from branches/sites and communicating any outstanding/incorrect reports.
- Preparing and submitting national monthly reports to the NDFO for approval.
- Maintaining accurate databases of Training Service Providers/Dealers and Gunsmiths.
- Providing support, assistance, and training to branches/sites on the system.
- Supplying information to the Tender Department and SAPS as required.
- Offering administrative support services to the firearm department.
- Managing financial accounts of services provided, including creating purchase orders and following up on approvals and payments.
- Assisting in the management of departmental information.
- Ensuring compliance with company disciplinary code.
- Coordinating, maintaining, and improving systems on firearm legislation and BPC policy and procedures.
- Ensuring efficient coordination of departmental activities by setting up administrative systems and creating work schedules.
- Cooperating with colleagues to establish and maintain a network of contacts.
- Providing ad-hoc assistance to the NDFO with firearm-related requirements as needed.
- Grade 12 or equivalent qualification.
- PSIRA - Grade A.
- Business administration degree/courses advantageous.
- Valid SAPS Competency Certificate with handgun, shotgun, self-loading rifle, manual operating rifle, machine carbine, and Firearms Control Act knowledge advantageous.
- Reg. 21 Training in handgun, shotgun, self-loading rifle, manual operating rifle, machine carbine, and Firearms Control Act knowledge advantageous.
- Experience in dealing with firearms advantageous.
- Quality Control and/or compliance certification advantageous.
- Relevant experience in a similar position advantageous.
