We are currently looking for an Administrator to assist in the management of office administration and back-office support.

Job description / core competencies:
1) Purchasing and stock administration

  • Manage stock control and inventory counts for the logistics warehouse as well as the company spares warehouse.
  • Manage issuing of parts to technicians and return if parts from technicians for stock control.
  • Manage offices supplies.
  • Keeping filing of purchase orders, and suppliers' files up to date and ensure critical items are attended to.
  • Assist with month end process of internal reporting.
  • Ensure shipping files are kept up to date and follow up on shippers with regard to collections and ETAs.
  • Place purchase orders on local vendors.
  • Receive and label stock in local warehouse.
  • Ensure procedures are kept.
2) Service and sales administration

  • Keeping filing of customer orders, invoicing and customer files up to date and ensure critical items are attended to.
  • Assist with month end process of internal reporting.
  • Ensure all mailing of customer statements and ensure they have reached their intended destination.
  • Follow up on customer payments against statements.
  • Reconcile expense reports.
  • Service SLA inventory planning and liaison with team and customer for planned work.
  • Management of breakdown intervention and planning for technical team.
  • Manage technician time for project installation and commissioning.
  • Telephonic support to customers when team is on the road. Capture all leads and customer requests, and log customer data on CRM.
  • Writing up of project reports
  • Assist with coordination of project team calendar
  • Occasional general secretarial functions, when required

  • Purchasing and stock administration: 5 years (preferred)
  • Manage stock control and inventory counts: 5 years (preferred)
