    Pronel Personnel is seeking a highly skilled High-Profile Office Manager to join their team. The ideal candidate will have strong marketing and office administration skills, with a proven track record of providing day-to-day office operations and executive assistance.

    Main Responsibilities:

    • Provide administrative support to executives and team members, ensuring seamless communication and efficient workflow.
    • Assist in organizing meetings, travel arrangements, and daily schedules, maintaining a high level of organization and attention to detail.
    • Coordinate office operations, manage office supplies, equipment, and vendors, ensuring a smooth and productive work environment.
    • Support the marketing team with content creation, social media management, and email campaigns, leveraging creative and innovative ideas to drive business growth.
    • Process reimbursements as requested and approved, maintaining accurate records and adhering to company policies.
    • Reconcile credit card & loyalty statements, identifying areas for cost savings and implementing process improvements.
    • Liaise with relevant stakeholders to resolve queries and issues, demonstrating exceptional customer service and conflict resolution skills.
    • Co-ordinate statutory document submissions and follow-ups, ensuring compliance with regulatory requirements.
    • Engage with Legal and Compliance to ensure service provider contracts and SLAs are up to date and tracked correctly, mitigating risks and ensuring business continuity.
    • Allocate and reconcile petty cash as required, maintaining financial accuracy and transparency.
    • Relieve switchboard duties when needed, providing flexible support to the team.
    • Ensure annual renewals for cell phones, post box, and car licenses are completed on time, streamlining processes and reducing administrative burdens.
    • Perform general office ad hoc duties, such as taking minutes, typing, filing, scanning, etc., adapting to changing priorities and demands.
    • Maintain company insurance policy, ensuring compliance and minimizing risks.
    • Process payments and requisitions through the agreed process as required, maintaining financial integrity and accountability.
    • Assist with preparation of marketing materials, presentations, and promotional events, showcasing creativity and innovation.
    • Maintain and update client and marketing databases, leveraging data insights to inform business decisions.
    • Demonstrate excellent written and verbal communication skills, building strong relationships with internal and external stakeholders.
    • Show attention to detail and ability to work independently, prioritizing tasks and managing time effectively.
    • Work effectively in a fast-paced, team-oriented environment, embracing collaboration and continuous improvement.

    Skill Requirements:

    • Ability to plan, prioritize, and multi-task, managing multiple responsibilities and deadlines.
    • Ability to work independently with little supervision, exercising autonomy and self-motivation.
    • Strong administrative skills, including organizational, technical, and communication abilities.
    • Valid driver's license with own vehicle, ensuring flexibility and mobility.
    • High levels of integrity and confidentiality, maintaining sensitive information and upholding professional standards.
    • Ability to remain calm under pressure, managing stress and adapting to changing circumstances.
    • Good interpersonal manner, building strong relationships and rapport with colleagues and clients.

    Education/Experience:

    • Secretarial course or office admin certificate will be an advantage, enhancing administrative capabilities.
    • At least 3 years' experience in a related/relevant field of work is required, demonstrating relevance and expertise.
    • Proven track record of good work performance is essential, showcasing achievement and potential for growth.
    • Excellent communication and collaboration skills, facilitating effective teamwork and stakeholder engagement.
    • Marketing skills, leveraging creativity and innovation to drive business results.
    • Valid driver's license with own vehicle, ensuring flexibility and mobility.
