Main purpose of the job:


  • Coordinate, process, and maintain divisional financial records aligning with multiple grants and projects and ensuring uptodate creditors

Key performance areas:


  • Finance operations, records, and reporting_
  • Effective management of division payments
  • Manage division payments and related administration, including approvals and effective process flow, problemsolving, planning and reporting, training, and team coordination
  • Design and drive regular and ad hoc required internal financial reports on creditors (i.e. creditors reconciliations, purchase orders raised and closed, payments loaded and paid, open supplier payments with queries; supplier lists, etc.)
  • Provide informed recommendations for effective supplier relationship and resource management
  • Oversee creditors/suppliers: maintain creditor accounts in current status through effective payments deadlines and reconciliation; liaise with suppliers; track and report
  • Manage unit credit cards including reconciliations, compliance, and payments/topups
  • Process and review expenses and reimbursements, and maintain records
  • Coordinate debit orders and SLA or contractbased accounts and budgets
  • Coordinate Wits grants, spending, compliance, reconciliations, and reporting
  • Facilitate and monitor intersyndicate transfers as needed liaising with WHC finance
  • Liaise with WHC regarding statements and reports as required
  • Act as the main point of contact for all financerelated queries, liaising with internal and external stakeholders
  • Oversee cost recoveries tracking and core or operational costsharing (including eg. vehicle and telephone cost recoveries from applicable grants/studies)
  • Preparation of payment packs
  • Review and implement internal finance operations controls and guidelines, and maintain finance trackers
  • Support grant/project expenditure tracking as required
  • Monitor core budgets, expenditures, and support to ensure spending is as planned and risks are managed, in liaison with relevant departmental managers
  • Assist with the preparation of core operations budgets
  • Support operations team and research administration function to accurately align operational expenditure with resources and budgets, where required
  • Support ExCo with payroll review as required
  • Asset management_
  • Maintain a detailed and comprehensive asset register and tracker, perform regular checks and reports
  • Review asset lifecycles/depreciation and collaborate with the operations team on resource planning
  • Liaise with the WHC SSC asset administration team and verify assets (including assets purchased through Wits)
  • Secure and organized filing of all relevant asset documents
  • Compliance and risk management _
  • Ensure all compliance requirements, policies and SOPs are followed. Draft and review SOPs as needed to support effective finance operations and compliance; provide applicable training
  • Ensure effective financialrelated filing (digital and physical)
  • Uphold segregation of duties, especially with regard to payments and procurement approvals
  • Oversee approvals processes and guidelines and ensure approvals in place are relevant
  • Facilitate compliance checks on all division finance matters such as expense claims, credit card reconciliations, and travel arrangements; track and report on compliance

Required minimum education and training:

Degree in Finance or a related field

Required minimum work experience:

-
Minimum 2 years experience in the Finance department

Desirable additional education, work experience, and personal abilities:


  • Experience working in a donorfunded organization or NGO
  • Must have a dynamic and compatible personality able to deal with suppliers, clients, donors, and staff at all levels
  • Selfmotivated, able to work independently and work as part of a multidisciplinary team
  • Must be able to prepare reports, present and drive own work plans/targets
