    Description

    We are seeking a skilled Facilities Administrator to support our Property & Store Design Department at our Head Office in Cape Town.

    Key responsibilities:

    • To assist the Facilities Management team with tasks such as purchasing, invoice reconciliation, and budget monitoring.
    • Liaise with third-party suppliers and contractors to ensure performance meets Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
    • Support the delivery of a consistent and efficient service across the site, ensuring Planned Preventative Maintenance (PPM) schedules are up-to-date.
    • Act as the primary point of contact for air-conditioning services during working hours.
    • Monitor and respond to job requests, liaising with internal and external stakeholders.
    • Evaluate supplier and contractor vetting processes.
    • Provide administrative and operational support to the Facilities Manager.
    • Produce monthly reports highlighting performance against targets and budgets.
    • Prepare weekly reports detailing work completed against logged activities.
    • Maintain internal systems, workflow, and best practices for the Building Management Team.

    Requirements:

    • Experience managing FM contracts and SLAs.
    • Experience working with contractors and suppliers.

    Skills:

    • Numeracy and experience with purchase orders and suppliers.
    • Proficiency in MS Office packages, including Word and Excel.
    • Ability to thrive in a fast-paced environment.
    • 2-3 years of office administration experience.
    • 2-3 years of financial administration experience.

    Education:

    • Essential: Matric with Maths and English or equivalent.
    • Desirable: Qualification in customer service or business administration.
