Minimum Qualifications:
Matric certificate.


Tertiary Qualification:
Certificate or Diploma in Administration (beneficial)


Experience:


  • Minimum 5 years in the same or similar role
  • MS office suite
  • Code 8 drivers license
  • Fluent in English and Afrikaans
  • Excellent Writing skills.
  • Proven ability to minute and or subscribe minutes from a record
  • Working with customers and maintaining customer relations.
  • Ability to maintain high level of confidentiality.
  • Attention to detail
  • Strong organizational and interpersonal skills.
  • Problem solving skills.
  • Adaptability.
  • Time management.
  • Able to work under pressure

Duties & Responsibilities:


  • Plan and schedule MD activities and diary and activities.
  • Ensure diary is managed effectively catering for travelling, information preparation, meetings to achieve business objectives.
  • Ensure all diary management activities are executed on time.
  • Minute taking, compiling of action items and managing agenda points for meetings
  • Type business letters, board meeting minutes, Exco Minutes, memorandums, schedules and general correspondence to staff and managers.
  • Arrange all travel arrangements (local and international) and assist with Visa Applications when needed.
  • Handling and or escalating customer complaints
  • Manage and source relevant resources for events, functions, etc.
  • Manage cleaning staff, receptionist, and company driver duties.
  • Manage company cell phone accounts and upgrades.
  • Maintain internal and external stakeholder relations

Administration:


  • Arrange workshops and team events.
  • Exco Calendar Year Planning.
  • Liaison with Marketing and Communications Department.
  • Assist with high level ordering stationery + gifts etc
  • Processing of Management Expense Claims
  • Boardroom and Meeting Rooms calendar management and arranging refreshments for meetings.
  • Arranging Catering for staff events and work hour functions.
  • Monthly Reporting following up on Branch Managers and Exco
  • Members Monthly Report submission.
