PRIMARY ROLE
To manage, oversee and assist with all administrative aspects of the Golf Department - (golf bookings, check-ins, queries, reports, handicaps, tournaments, committees, competitions, events, communication, staff records and marketing.

KEY RESPONSIBILITIES:


  • General management of the golf bookings, checkins, and all things administrative for the Golf Department.
  • Schedule rosters for all Golf staff for daily operations, ensuring all areas are accounted for.
  • Manage the overtime and leave schedules of golf operations staff.
  • Manage the daytoday Golf bookings process:
  • Checking that Club rules and policies related to bookings has been adhered to and reporting any anomalies to the Golf Director.
  • Ensure that staff are trained and have current price lists and rules.
  • Ensure that "exception" bookings must have Notes.
  • Constantly monitor the tee sheet looking for booking exceptions to rules, problem golfers, one or 2 balls, etc. and take appropriate action to report and/or resolve.
  • Ensure rates charged are correct.
  • Check correct codes are used for billing of Golf Pros, Ambassadors, Staff, for green fees, range and carts.
  • Ensure that Noshows and cancellation are dealt with according to club policy and recorded correctly.
  • Ensure that catering numbers (based on golf bookings) are communicated to F&B Manager timeously.
  • Ensure that cashups and Dayend processes are completed according to club policy.
  • Resolve any golfer reservation, checkin or golf related queries and problems.
  • Manage all Golf Groups and Golf School bookings and queries.
  • Assist with Golf Checkins and Golf Bookings at peak times or when needed.
  • Assist with group reservations/corporate golf days and ensure booking requirements are communicated and actioned.
  • Lead the planning and organisation of Club Golf events.
  • Assist with Corporate Golf Days.
  • Overseeing the Handicapping system and related reports.
  • Develop and analyse golf related Reports.
  • Develop a relationship with members and assist with any queries and correspondence and be responsible for general golf related communication.
  • Assist the Social Media and Marketing with designing and preparing golf communication posters, and other social media content as well as golf related documents.
  • Manages and oversees the planning and organising of the Golf Diary with the Golf Director.
  • Assist with taking minutes at meetings when required.
  • Manages and oversees everything to do with the Ladies Golf Committee and section.
  • Maintaining records of the major tournaments, club events and hole in ones, including honour boards.
  • Assist the Golf Director in creating and maintaining departmental procedures, ensuring these are communicated to the staff, that staff are trained, and policies are adhered to.
  • Work with Management to implement strategic goals set for Golf Department and the development and improvement of the operation.
  • Work with the Golf Directors to create new and innovative ways to promote golf to CCJ members and improve the golf experience for members and guests.
  • Assist the Golf Director to plan the competition diary.

QUALIFICATION

  • Matric
  • Tertiary Qualification in Business Admin/Hospitality or similar is beneficial.

PERSONAL ATTRIBUTES & SKILLS

  • Must be computer literate.
  • Customer service skills required friendly and presentable.
  • Excellent communication skills (written and verbal).
  • Proficient in English.
  • Strong organisational, planning and prioritization skills.
  • Must be selfmotivated and an initiator.
  • Golf knowledge beneficial.

MINIMUM / PREVIOUS EXPERIENCE

  • Previous experience in a similar role.
  • Golf knowledge is beneficial.
