Divisional Administrator:


Purpose of the Job:


To work collaboratively with Advisors/Consultants, services providers such as Liberty, Stanlib, Discovery and stakeholders across the wider business to support the efficient processing, investigation, and management of new/existing and potential business.

The Divisional Administrator will work as an integral member of the team and provide administrative support to enable the Advisory/Consultancy team to manage the workflow, follow-ups, logging and maintaining accurate data in the Customer Management System (CRM) to ensure a proactive and seamless customer service.


Duties and Accountabilities:


  • To contribute to the efficient and holistic operations of the Division by supporting the Advisors/Consultants within allocated portfolio to achieve their financial goals and targets.
  • When required, manage, and organise appointment calendar and schedule client meetings/appointments for the Advisors/Consultants.
  • Process new business/servicing transaction requests allocated on Elite Wealth within turnaround times at the same time adhering to processing requirements, compliance and controls imposed.
  • Ensure that all supporting case documentation is scanned to Elite Wealth upon receipt of new business/servicing case.
  • Provide compliance support to the Advisors/Consultants, including maintaining client engagement records with regards to all compliance requirements.
  • Maintain client records on the Customer Management System (CRM) and ensure that records are accurately updated at all times. Retain documentation for a period as required by the legislation.
  • Build and maintain relationships with all internal and external stakeholders.
  • Ensure an exceptional customer experience for all our internal and external by swiftly and accurately responding to and resolving all requests and queries within setturnaround times. When necessary, escalate complaints to the Line Manager and ensure all relevant parties are informed of the resolution.
  • Communicate effectively across Divisions/Units and service providers to ensure the delivery of outstanding information and/or feedback.
  • Contribute to the continuous improvement process by identifying and suggesting improvements to new and existing procedures / systems.
  • Proactively anticipate issues/problems and exhibit a high sense of urgency in working towards solutions.
  • Attend product, technical, systems and other prescribed training as arranged from time to time.
  • Stay up to date with relevant product, technical and systems knowledge.
  • Take ownership for driving own career development.
  • Perform any other duties as may reasonably be required by management.

Key Requirements:


QUALIFICATIONS AND EXPERIENCE:


  • Matric or equivalent of Senior certification
  • Industry specific NQF 5 tertiary qualification
  • Diploma or Degree will be advantageous
years' administration experience in the Life Insurance and/or Investment Industry


SKILLS AND COMPETENCIES:


  • Strong written and verbal communication skills
  • Organized and detail oriented
  • Ability to multitask, manage time effectively, and work unsupervised
  • Ability to maintain absolute confidentiality in dealing with client matters
  • Strong problem solving and analytical skills
  • Computer savvy with experience using Word, PowerPoint, Excel, Outlook and Elite Wealth

MANDATORY:


  • Clear criminal and ITC records.
