Our Client in the Finance and Legal Insurance Industry is seeking a Debt Recovery Specialist based in Sunninghill


Main Purpose of the Job:


  • To provide support to Credit Risk Advisors and their team, in order to improve customer cashflow and minimise risk by proactively recovering any outstanding debt, using a variety of approaches and keeping the customer informed throughout the process.

Requirements:


  • NQF Qualification, Diploma or Degree advantageous
1 to 3 Years' Experience in Debt Collection or Credit Control, preferably from a legal background

  • Must be Computer Literate with MS Office
  • Understanding of functions such as pulling reports, capturing payments and payment schedules, generating documents, and searching
  • Experience with dictating and typing notes for minutes

Duties:


  • Obtain LAA (Legal Action Advice) form with indemnity to list plus a copy of Sale Agreement, Statement, Security Documents
  • Obtain a "Collection Advice with Authority To List" form (for nonretainer clients)
  • Check documentation for correctness, acknowledge receipt of LAA / Collection Advice accordingly
  • Assess paperwork identify strengths and weaknesses in paperwork that will affect the collection process and ensure your initial assessment is the first note when loading the matter onto Mfiles
  • Advise clients immediately of shortcomings, ramifications and suggested solutions where documentation is assessed to be inadequate or incomplete
  • Load entire matter onto M-Files, saving all the supporting documentation accordingly
  • Place debtor on Interim Industry Stop, ensure status is continuously updated
  • Contact Debtor telephonically, establishing the status of the debt and ability to pay and record who was spoken to and details of discussion
  • Dependent upon outcome of phone call, send confirmation letter or letter of demand. Differentiate between surety and no surety, insured and uninsured.
  • All relevant correspondence and actions need to be saved and or recorded on Mfiles for reporting purposes.
  • Update industry stop status on an ongoing basis (Final Industry stop, or Dispute raised)
  • Diaries date for payment / date for follow up / date for listing. USING M-FILES
  • If insured, establish claim lodgment date and diaries accordingly using M-FILES
  • Follow proactive debt recovery processes and approaches to obtain payment
  • Adverse list if proper notice (in demand) has expired and with prior authority from your Credit Risk Advisor
  • Understand all forms of security to assist with collection
  • Secure Acknowledgement of Correctness of Account or Acknowledgement of Debt, as applicable. If insured, obtain insurer authority
  • If you are not successful or progress is stifled, refer to Credit Risk Advisor for assistance
  • Inform insurers, if applicable and via online portal of all amounts received from debtors
  • Keep collection notes updated with all actions taken or followed on Mfiles (within 24 hours max)
  • Keep collection notes updated with any payment schedules or payments received on Mfiles (within 24 hours max)
  • Accounts department to be advised on all collection payments received on adhoc collections for relevant billing to take place
  • In collaboration with the Credit Risk Advisor, must decide if to hand over to Attorneys
  • If claim lodged, advise Collections Department accordingly vis Mfiles and mail in order to follow up for the official collection from the insurers
  • If the matter is totally uncollectable, a full motivation is to be made as to why the file should be closed. It should incorporate Deeds Office Search results (if applicable), searching social media, Google etc.
  • At all times to ensure that M-Files is used in its entirety for all actions and notes. The system should be current at all times
  • Should the debtor pay, the business is to be removed from Industry Stop and the adverse listing updated
  • All transactions to be captured and created through M-Files
  • All documentation and correspondence to be saved to the collection matter on M-Files, as and when received
  • ALL Collection notes are to clearly reflect action taken and outcome, actions still to take, any BCM recommendations and client responses
  • Notes on payment plan to state amounts and terms every time.
  • Ensure hand over balance matches clients during the process
