EXPORTS CUSTOMER SALES COORDINATOR:

    YOUR MISSION:

The Export Customer Sales Coordinator is responsible for the support of backend sales administration by the effective processing of sales orders and managing the Orderbook for various export customers to achieve highest possible conversion rate from order to invoiced sales.

The responsibilities will also include assisting with the logistics of exports deliveries.


Key Performance Indicators:

  • Oversee and maintain the order administration of Africa Exports Customers/Intercompany orders.
  • Generate shipping documentation for timeous submission to drive monthly target achievements to ensure customers' orders are processed.
  • Attend to and resolve customer and Agent queries.
  • Liaise with Credit Control Department to resolve problematic accounts, Purchasing Department to ascertain product availability and Warehouse to determine delivery specifications.
  • Maintain the order book of Africa Exports Customers/Inter Company orders.
  • Ensure all backorders and oversold products are cleaned up.
  • Maintain open sales orders by monitoring and updating the order book for Africa Exports Customers/Intercompany orders.

Tasks:


  • Run availability reports monthly or as required per customer.
  • Sends free to sell reports to customers to drive sales
  • Oversee and maintain the order administration of Africa/Inter Company orders.
  • Capture and process immediate and future orders for best delivery
  • Communicates product discrepancies to customer and find replacements to secure and drive sales
  • Ensuring the correct discounts and pricing is applied within good time to secure orders and deliver within the customers required time
  • Generate Pro Forma Invoice and Order Confirmation for customer approval and payment requirements
  • Work closely with the Warehouse to ensure goods are packed within the required time and weights and dimensions received timeously
  • Ensure the correct container and freight invoice is received from Freight Forwarder
  • Constantly liaising with Accounts department for update on Recon of Customer Accounts to ensure customers are up to date with payments
  • Preparing all export documentation (commercial invoice, delivery note, weights and dimensions, SADCS and summary order sheet, export instruction form) for customs and shipping
  • Request Sea, Air and Road Freight quotes and booking suitable shipments with freight forwarders to meet commitments to customers
  • Loading RA's and PO's accordingly to secure credits to customers and payments made by customers
  • Assist with insurance claims and credit notes
  • Monitoring and tracking shipments
  • Troubleshooting and expediting shipments that have been heldup
  • Continuously identifying opportunities to improve service delivery and efficiency
  • Maintaining a high level of general Customer Service

YOUR TALENT:

- a relevant tertiary qualification;
- +2 years' experience within Export logistics or similar role.

  • Excel advanced skills
  • SAP knowledge would be an advantage
  • General Administration and Organisational Management
- attention to detail
