    Mission

    Due to its fast growth and support from shareholder Voltalia, an international leader in renewable energy, Helexia is expanding internationally and seeking an Executive Assistant in Cape Town, South Africa.

    The Executive Assistant role involves supporting the Regional Director in administrative and communication tasks. This includes designing and preparing deliverables, organizing events and missions, and working on social communication.

    Main Responsibilities:

    • Administrative Support:
      • Assist the Regional Director with daily tasks, including scheduling meetings, managing calendars, and organizing events for the team.
      • Plan and organize the daily and monthly schedule/agenda of the Regional Director.
      • Monitor travel costs and prepare periodical reports for the South African team.
      • Monitor the travel roster of team members and ensure adherence to the travel policy.
      • Manage procurement of furniture and items for the company.
      • Follow up on all Request for Commitment requests, collect signatures, register documents, etc.
      • Prepare and edit correspondence, reports, and presentations.
      • Handle confidential information with discretion.
      • Coordinate and follow up on action items from meetings.
      • Assist in the preparation of reports, track spend vs budget.
      • Support the Regional Director with various reports and other related items.
    • Social Media and Website Management:
      • Create, schedule, and post content on social media platforms (e.g., LinkedIn).
      • Monitor and respond to comments and messages on social media.
      • Update and maintain the company website with fresh content and news.
      • Analyze social media metrics and provide reports on performance.
    • Presentation Design and Improvement:
      • Design and improve PowerPoint/Canva presentations for team meetings, client pitches, and other events.
      • Ensure presentations are visually appealing and aligned with the business unit's branding guidelines.
      • Collaborate with team members to gather content and feedback for presentations.

    Requirements

    • Matric (Grade 12) qualification is mandatory.
    • Certification in Business Administration, Marketing, Communications, or a related field is advantageous.
    • Proven experience in administrative support, social media management, and presentation design.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and social media platforms.
    • Strong organizational and multitasking skills.
    • Excellent written and verbal communication skills.
    • Creative mindset with an eye for design.
    • Fluent in English (Additional local language beneficial).
