    Procurement and Shipping Administrator

    We are seeking a highly skilled Procurement and Shipping Administrator to join our team. The ideal candidate will have experience in procurement, costings, and shipping knowledge.

    Duties & Responsibilities

    • Loading accepted orders onto the system and completing outstanding order sheets.
    • Creating Purchase Orders.
    • Checking and updating stock on the system.
    • Expedited knowledge for efficient processing.
    • Following up on outstanding documentation from suppliers.
    • Updating Outstanding Orders.
    • Updating purchasing records, data, and pricing into our inventory system.
    • Liaising with Clearing and Forwarding Agents for seamless logistics.
    • Preparing import and export documents including packing lists, invoices, country of origin, letters of credit, insurance, and more.
    • Liaising with forwarders on delivery schedules and shipment arrangements.
    • Liaising with forwarders on cargo clearance, permits, and deliveries.
    • Liaising with transporters for shipment coordination.
    • Monitoring and updating the status of shipping arrangements and deliveries.
    • Seeking freight quotations and making recommendations on competitive forwarders, agents, carriers, and insurers.
    • Arranging documentation for all STOP Containers (SAPS, NRCS, CUSTOM).
    • Resolving audit-related documentation for procurement.
    • Managing documentation and exchange rate deals with the bank.
    • Costing all shipments locally and internationally.
    • Managing GRVs for incorrect stock.
    • BOM Stock into System updates.
    • GRN and GRV queries to suppliers.
    • Liaising with suppliers to resolve quality or quantity discrepancies.
    • Reporting monthly on GRN and GRVs.
    • Maintaining Shipment files.
    • Verifying bill of entries marked off by Standard Bank.
    • Reprinting invoices and picking slips as needed.
    • Assisting salesmen with stock items.
    • Local purchases of office consumables.
