ROLE SUMMARY


The Fleet Controller is responsible for the supervision of the daily operations relating to vehicle management, including safety, training, and finance.

They assign tasks to employees and track deliveries while continually monitoring the department's efficiency and performance and look for ways to improve productivity, reduce errors, cut back on waste, and improve the company's bottom line.

More specifically, ensuring that deliveries are executed on time and in accordance with the Service Level Agreement (SLA) conditions and that all administration is completed timeously and accurately.


QUALIFICATIONS

  • Minimum: Grade 12 or NQF level 4 equivalent.
  • Preferred: B Degree in Business Administration / Logistics / Supply Chain Management / Accounting or a relevant qualification.

EXPERIENCE
years' experience in fleet management and workshop management within the transportation industry.


RESPONSIBILITIES

  • Oversee and schedule vehicle inspection, maintenance, servicing, safety, and repair to minimize downtime (Fleet Maintenance).
  • Ensure and monitor that all drivers maintain a fullfledged vehicle maintenance standard (Driver Monitoring).
  • Oversee Driver training, recruitment, implementation, training, and driver rostering (peak vs offpeak).
  • Ensure timely resolution of vehiclerelated issues and minimize repair costs.
  • Oversee the procurement and inventory management of spare parts, tools, and equipment required.
  • Develop and implement preventive maintenance programs to minimize vehicle breakdowns and maximize fleet uptime.
  • Assist with collecting, analyzing, and interpreting data related to fleet operations and workshop activities, including maintenance costs, vehicle downtime, and repair trends.
  • Prepare regular reports and presentations on KPIs, operational efficiencies, and costsaving opportunities for senior management.
  • Establish and maintain effective relationships with external vendors, such as parts suppliers and service providers.
  • Identify trends, patterns, and opportunities for improvement based on data analysis and recommend strategies to optimize fleet and workshop operations.
  • Dealing with and managing any onthespot complaints by customers and urging people to address the complaint in writing to the relevant party.
  • Create vehicle purchase specifications and purchase vehicles according to the business requirements.
  • Assist with the implementation and monitoring of purchasing, operational, and replacement strategies.
  • Implement and monitor fleet management system.
  • Ensure the business unit complies with all national laws and regulations related to vehicle repairs and standardization.
  • Support the Line Manager in overseeing the efficient and safe running of the entire fleet and deal with additional demands to support operational policing.
  • Ensure all vehicles on the road meet all necessary road traffic regulations and the company.
  • Coordinate and ensure routine repairs and maintenance of all vehicles within their maintenance agreements and or service schedules.
  • Maintain administration records and or purchase orders for routine maintenance and repairs of vehicles.
  • Act as a point of contact between the service provider carrying out repair work and the company.
  • Receipting of daily vehicle check sheets and report all new damages and defects to the Line Manager.
  • Ensure vehicle quality standards are consistently maintained in accordance with Road Traffic Regulations and quality requirements.
  • Ensure authorization of all replacement vehicles and purchase orders.
  • Provide technical support and guidance to existing fleet team staff members.
  • Manage the sharing of data and flow of information across Fleet Services, suppliers, clients and other external stakeholders and present data to a variety of audiences.
  • Keep accurate compliance records and ensuring successful completion of audits.
