Duties and Responsibilities
Administrative Support
- Manages and updates the Campus Head's calendar.
- Drafts and distributes relevant correspondence.
- Arranges and co-ordinates meetings.
- Compiles and edits presentations.
- Creates a filing system, and files and manages all documents in the office.
- Receives calls and visitors and notifies the relevant person of their arrival.
- Manages and updates documentation across relevant systems.
- Supports the Campus Head in the co-ordination and planning of various events.
- Arranges all meals , coffee, tea water for the Campus Head and visitors.
- Deals with customer complaints, conducting fact checks with the relevant parties and providing the Campus Head with a report/update on the issue.
- Provides personal support as needed to assist the Campus Head.
Travel and Conference Co-ordination - Books travel including arranging the itinerary, car hire etc. for the Campus Head.
- Arranges visas if required for travel.
- Researches, reviews and books suitable accommodation.
- Manages the various logistics and requirements for conferences throughout the year.
- Researches, reviews and sources suitable venues for conferences.
- Compiles and distributes conference packs prior to the commencement of the conference.
- Checks and updates travel logs for invoicing purpose.
Report Collation - Draws and distributes relevant reports as requested.
- Co-ordinates data and collation of various reports.
- Compiles all IIE 0015 documentation on request of the Campus Head.
- Keeps Accurate record of all correspondence and cases.
Project Co-ordination - Provides project co-ordination support to the Campus Head.
- Receives details of required projects, scopes out the approach and co-ordinates the project from beginning to end.
- Coordinate activities of the SMT on instruction of the Campus Head.
- Arrange all Campus events/year end function etc of the Campus Head
Minimum Qualification Required: - Minimum of a 3 Year Diploma (NQF Level 6)
- Advanced Diploma or Degree (NQF Level 7) preferably in Administration is advantageous
Minimum Work Experience Required: - Minimum of 3 – 5 years experience in Project Co-ordination or in a Supportive Administrative Assistant role, Project Management is advantageous.
Special Requirements: - Must have valid drivers license and own vehicle.
