    Job Description

    The ideal candidate will be responsible for managing and overseeing documents within the Subcontractor Management System. This position works closely with the Quality Controller to ensure that all necessary documents are submitted by subcontractors, and all records are kept current in line with company policies and procedures.

    The Subcontractor Coordinator plays a critical role in ensuring the prequalification process is completed for all subcontractors and potential subcontractors.

    Duties and Responsibilities

    • Document Organisation and Archiving

      • Scanning and copying documents
      • Filing documents physically and electronically
      • Organising documents according to company procedures and requirements
      • Following retention schedules to properly destroy old documents
    • Subcontractor Management

      • Maintaining an accurate subcontractor log to provide timely status updates
      • Reviewing and updating certifications for prequalified subcontractors
      • Liaising with subcontractors to ensure document compliance
      • Providing feedback to subcontractors during the prequalification and contract award process
      • Leading the prequalification evaluation team and process
      • Communicating prequalification results to relevant teams and stakeholders
      • Retrieving documents and providing subcontractor status upon request
      • Efficiently retrieving documents and data using company procedures

    Minimum Requirements

    • Bachelor's degree in Engineering, Contract Management, or a related field
    • At least 5 years of experience in a similar role
    • Proficiency in MS Office applications, including Word, Excel, PowerPoint, Visio, and Access
    • Strong communication and interpersonal skills for effective team coordination
    • Ability to work in a fast-paced environment with high organisation skills
    • Excellent written and verbal communication skills
    • Ability to multitask and prioritise tasks
    • Analytical experience and proficiency in typing
    • Data organisation and storage knowledge
