Description
Order Processing:
- Check orders received for price, quantity and delivery dates.
- Acknowledge receipt of order to customer/agent and/or sales personnel within 24 hours of receipt of order.
- Capture orders into Syspro.
- Follow up releases with finance.
- Update orders daily where relevant, on the H Drive, Credit Control;
- Advise KAM of any problems/queries on orders.
- Ensure orders have been raised correctly.
- Release relevant document to the warehouse.
- Follow up on all releases.
- For specific customer systems, ensure accurate and timeous processing of orders on their systems
- Maintaining the supplier portal, ie.advising the customer of stock availability, ensuring it is available timeously and correctly, confirming order contents (RPL & Contracts).
- Ensuring efficient control of all contracts.
- Ensure that the order requirements and procedures of different customers are adhered to;
- Create commercial invoices, proforma invoices and packing lists where relevant.
- Ensuring PDA's are raised according to customer contract requirements (non
- RPL).
- Ensuring the correct prices, swing tickets and trims are ordered for new products and RPL.
- Update the supplier portal of all new products, ie pack size, LSeal quality, supplier references and carton type.
Deliveries:
- Plan & book deliveries into certain customer DC or stores.
- Advise customers of proposed delivery and advise KAM's for promotion deliveries.
- Follow up delivery status with warehouse.
- Follow up delivery with customer where required.
- Schedule QA Audits before delivery.
- Print the product pick and pack lists and store dispatch labels for each order.
- Ensure all relevant documents are prepared prior to deliveries.
Claims/Returns:
- On communication of delivery returns, SA must communicate with the customer in an attempt to prevent the return of goods.
- Process all documentation for returns.
- Advise relevant internal departments of returns.
General Administration:
- Ensure that all admin procedures with different customers are adhered to.
- Monitor customer promotions and feedback to sales team any relevant customer information.
- Provide regular feedback to KAM on customer services activities.
- Ensure that all filing is kept up to date.
- Relieves on switchboard on a rotation basis as and when required to do so.
- Monitor PDA progress.
- Capture orders on Syspro.
- Print required reports and highlight relevant issues.
- Manage collection and delivery of samples.
- Run a monthly report on sales for customers between dates.
- Run relevant PO control reports (supplier portal).
- Administer loadings activities.
- Raise purchase orders and receipt all service/goods received for Finance Department.
- Liaison for the KAM and the relevant departments, ie warehouse and production.
- Attend relevant meetings.
- Provide point of contact for customer.
- Provide support when KAM is out of office.
- Attend relevant meetings.
- Assists with updating and maintaining forecasts as required.
