One of the largest mid-tier accounting firms in South Africa is looking for anOffice Manager to join their amazing team based in Stellenbosch
Your
duties and responsibilities will include, but not be limited to:
Reception:
- Answering of switchboard first point of engagement with all stakeholders, employees and clients
- Receive guest and, clients
- Arrange beverages for all meetings/appointments
- Booking of meeting rooms, refreshments & lunches as required
- Stationary & cartridge orders and reconciling of weekly and monthly payments and reporting to financial department
- Assisting with all ad hoc requests from management
Office Management:
- Planning and coordinating administrative procedures and systems and devising ways to streamline processes.
- Oversee office facilities and maintenance activities, ensure compliance with health and safety regulations.
- Monitor and maintain office equipment.
- Organize and supervise other office activities (recycling, renovations, parking etc.)
- Manage office supplies stock and place orders where necessary.
- Prepare regular reports on expenses and office budgets.
- Schedule inhouse functions and events and prepare gifts, flowers and vouchers where required.
- To manage and coordinate office projects and ensure their timely completion.
- Handle queries from managers and employees.
- Manage office staff (cleaning staff)
- Planning, organizing, and finalizing logistics for client conferences, events, and meetings, including all travel bookings and catering.
- Ability to work on the practice management system
- In charge of the petty cash
Requirements:
- Matric
- Previous office management experience will be beneficial
- MS Office experience
- Telephone etiquette
- Friendly and professional
- Presentable and well spoken
- Time management
- Bilingual (Afrikaans and English)
- Driver's license and own vehicle
