Description
Responsible for the control of all incoming materials and all related documentation. Stock Control within the warehouse. Operation and maintenance of the forklift. Ensures continual maintenance of GMP, GWP, Safety Standards as well as general housekeeping standards within the working environment.


Role Specific

  • Ensure that the receiving process is followed and adhered to with all goods/materials received.
  • Liaise and coordinate with purchasing re delivery schedules.
  • Ensure that goods and services are GRN'd as soon as they arrive.
  • Ensure that QA receive the inspection notes timeously.
  • Monitor the inspection warehouse and liaise with QA to ensure stock remains therein for a minimum amount of time.
  • Ensure that stock is receipted into the warehouse timeously after release by QA.
  • Ensure that stock checks are completed monthly and any deviations followed up on.
  • Liaises with the State Vet re inspection of deliveries where required.
  • Ensure that the provisions list is completed on the last working day of each month and submitted to the finance Department.
  • Ensure that expired stock is controlled according to procedure.
  • Ensure that the calibration schedule within the warehouse is adhered to and followed up where necessary.
  • Ensure that monthly self
- inspections are conducted and followed up on.

  • Ensure that GWP and GMP regulations are adhered to at all times and updated to best practices where necessary.
  • Ensure that the yard is clean and cleared of pallets and other storage devices.
  • Update procedures to accurately reflect the processes occurring within the warehouse systems.
  • Ensure that the forklift is safely operated and adequately maintained.
  • Ensure that the required safety documentation is accurately and timeously completed where necessary.
  • Continuous improvement projects are identified and implemented where possible.
  • Understand the role and fill in for the stores/stock control Clerk.
  • Ensuring that stock is received at correct costs and quantities and that all incoming shipments are checked before processing the documentation.
  • Liaising with the forklift drivers effectively and monitoring their work standards together with the Supply Chain Coordinator.
  • Monitoring stock and ensuring adequate stock rotation is practiced.
  • Control of adequate stock levels within the store area.
  • Month end provisions list.
  • Streamline position to ensure better compliance to GMP/GWP requirements.
  • Review procedures for compliance.
  • Backup person to be trained to ensure GRN skills are not held by one person.
  • Stock control and rotation.
  • Incoming material costing and freight expenses.
  • Material usage non movement of stock/FIFO/Expiry of materials.
  • Storage compliance.
  • Receiving procedure to be reviewed and updated to ensure cGMP requirements where necessary.
  • Compliance to the Department of Agriculture requirements on incoming shipments.
  • GMP /GWP and QA compliance.
  • Continual communication with internal staff members with production plan changes and other requirements.
  • Compliance to internal financial standards.
  • Implementation of better ways of working.
  • Training of other staff members to ensure skills are not residing in one person.

Qualifications and Training

  • Grade 12 and 2 to 3 years' experience working in a Stores environment.

Knowledge and Experience

  • ERP Financial Software.
  • Knowledge of Shipping terms.
  • An understanding of ERP software and material costings.
  • An understanding of the flow of material, processes and documentation.
  • An understanding of the goods receiving side of ERP Software and the impacts on the system, material and supplier should the documentation not be done correctly and timeously.
