To deliver operations and administration support services through the execution of predefined objectives as per agreed standard operating procedures (SOPs).

Job Description:


Accountability:
Journals/Switching

  • Verify that the requests are authorised according to the current Mandate
  • Check the completeness of the request (account number, account name etc)
  • Complete workflow register of all work received.
Daily spot-checks to perform weekly signoff by Team Leader.

  • Maintain an effective system of distribution, recording and monitoring of daily workload and submission of all management information on a daily, weekly and monthly basis.
  • Execute instructions of all incoming work received from different Branches and Stakeholders.
  • Draw an end of day reconciliation which must balance with the total amount approved for the day for all journals processed.
  • Check data on compliant letter provided to service providers to ensure accuracy of information.
  • Diligent followups with service providers to ensure that client requests are honoured

Accountability:
Adherence to Administration.

  • Investigate and resolve Unclaimed Funds enquiries and claims payout as per Service Level agreement with various stakeholdersUndertake and adhere to all compliance, business rules and regulations applicable to the role.
  • Recommend solutions to minimise identified common trends that could be a risk to the organisation.
  • Make sure that processes are adding value, eliminate waste and initiate changes to business processes and /or procedures to ensure compliance, eliminate risk and improve cost effectivness.
  • Extract reports, analyse trends and recommend possible solutions.
  • Coordinate and monitor quality assurance, quantity, productivity and service delivery within the SLA's with the relevant business partners and ensure controls and measurements are in place to eliminate interest claims, losses and complaints.

Effective and efficiencies within environment:

  • Responsible to actively contribute to any process efficiencies that can be made on a continuous basis by being involved in problem solving sessions were processes are questioned and revisited.
  • Revise own duties within department and suggest any improvements that can be made within the department within the laid down policies and procedures without placing BSSA at risk.
  • Responsible to live the LEAN culture on a daily basis and to be aware of any one point lessons and or Kaizens within the environment by exercising the 5S principals within your work daily.
  • Responsible to capture accurately own stats daily on Real Time Management (RTM) 3 and ensure that information captured corresponds to workload received.

Accountability:
Customer Service

  • Enhance the ABSA image by delivering superior client service to all potential and existing clients.
  • Record and finalize any queries/complaints received within the service level agreement with stakeholders in query log and report any trend to you direct Line manager.
  • Respect client confidentiality at all times and do not share any sensitive client information with any unauthorised third parties as per information Securities Policy.
  • Embrace change in such a way that ABSA and its clients are always placed as the utmost important factor in any decision.
  • Comply with all compliance/ legislation for example:
Code of Banking practise.
