Company Administrator / Secretary

INTRODUCTION:

An exciting opportunity has become available within the Outsource Service industry, for a Company Administrator / Secretary. The position is based in Bellville.


REQUIREMENTS:


  • Ability to work in crosscultural settings;
  • Team player, Motivated, Analytical skills, Good Communication & Interpersonal skills;
  • Strong analytical and problemsolving skills;
  • Ability to perform duties with limited supervision;
  • Deadline orientated with attention to detail;
  • Handson, proactive approach;
  • Knowledge of accounting software;
  • Excellent communication and interpersonal skills;

RESPONSIBILITIES:


  • To document financial transactions in the General Ledger system;
  • Accounts payable (i.e. processing invoices, payments and reconciliation of accounts etc.);
  • Accounts receivable (i.e. distribution of statements, following up on outstanding invoices, processing remittances, reconciliations etc.);
  • Payroll (Processing, reconciliations, etc.);
  • To maintain financial security by following internal controls;
  • Maintenance of internal systems and client files (electronic and hard copies);
  • Assistance with maintenance of Client entity records in accordance with legislative, internal compliance and other statutory requirements ensuring that filing (electronic and hard copy) is maintained daily;
  • Assistance with preparation of minutes, resolutions and general correspondence;
  • Support compliance monitoring efforts by assisting in the collection of client data, and documentation;
  • Assistance with maintenance of compliance calendars and reminders for regulatory filings, and statutory reporting deadlines;
  • Provide general administrative support to the compliance team, including scheduling meetings, managing calendars, and arranging for the dispatch of documents;
  • Coordinate the distribution of documents to appropriate individuals for review and signature;
  • Assistance with office management
  • Events, stationery, shopping, guests, etc.;
  • Assistance to the Executives
  • General administration, travel arrangements, etc.
