Description

Purpose:

To assist the Training, Accreditation and Certification Department with administrative duties pertaining to training and development, accreditations, and certifications.


Objectives

  • Ensure that all certificates, memberships, and accreditations remain valid yearly.
  • Ensure that all our staff, facilitators, assessors, and moderator registrations are valid each year.
  • Ensure that all training done is captured on the respective LMIS weekly.
  • Identify and implement 2 innovative ideas for the department/ WWISE.
  • On time delivery of training projects.
  • 85% internal & external client satisfaction.

Roles and responsibilities

Accreditation & Certification administration

  • Coordination and management of skills development initiatives.
  • Maintain accurate training records to assist in the effective running of the department (hardcopy and softcopy).
  • Update the Learner Management System after each training session.
  • Compiling and submission of reports to various stakeholders internally and externally (weekly, monthly, and quarterly).
  • Ensure WWISE accreditations and memberships are up to date always and the Office Manager has the latest copies.
  • Assist with sourcing of facilitators, assessors and moderators ensuring that their registrations are valid.
  • Assist with tenders - proposal writing and attending briefing sessions.
  • Ensure training material is always up to date, handouts, and videos are current.
  • Prepare and attend the site audits by SETAs and surveillance audits from certification bodies.
  • Provide administration support to the Training Coordinator, Facilitators, Assessors and Moderators.
  • Follow up on reports and invoices from facilitators, assessors, and moderators.
  • Provide extensive support to the Training, Accreditation & Certification Department in relation to training activities including arranging all internal and external training activities.
  • Assist with recruitment and interviewing of learners for learnerships, internships, apprenticeships, and graduate programmes.
  • Upload learners onto various SETA portals at the start of the programme and learner results upon completion.
  • Arrange for collection of Statement of Results and Certificates from the SETA/QCTO.
  • Ensure invoices are processed, proof of payment forwarded to respective stakeholders.
  • Keep record of training expenditure and income for the department and report monthly and quarterly.
  • Oversee the printing of training material, booking of venue, catering, booking of facilitator, for training interventions.
  • Facilitate good communication with other departments to ensure all training is carefully planned and coordinated.
  • Ensure that the correct use of logos is adhered to by marketing and TAC Department by sending reminders regularly.
  • As and when required assist with development of training material.
  • Execute activities allocated to this role on various projects.
  • Assist in any other duties that WWISE may deem necessary.

Office administration

  • Answer departmental specific and general enquiries - take and forward messages to WWISE training, accreditation & certification manager in a timely manner for resolution /action.
  • Printing and keeping up to date filling system both electronically and hardcopies.
  • Oversee and ensure that the accredited LA Courses / SETA Prerequisite are adhered to by Training, Accreditation & Certification Department as per accreditation criteria or guidelines.
  • Ensure that the correct use of Logo's is adhered to by marketing and TAC department by sending reminders regularly.
  • Do research on certification bodies that are relevant to WWISE with which we can accredit.

Personal Development

  • Attend workshops and conferences.
  • Enrol at an institution to obtain at least 1 full qualification and 1 certificate per annum.
  • Register with a professional body.
  • Undertake Continuous Improvement initiatives related to training, and accreditation support.

Key Selection Criteria

  • Well
- developed organizational skills including the ability to manage and prioritize a wide range of tasks.

  • Demonstrated expertise in the use of computer software products including Word, Excel, PowerPoint, Outlook.
  • Excellent written and verbal skills, the ability to communicate with external clients and within the organization.
  • A professional and friendly telephone and interpersonal manner.
  • Ability to work independently and as part of a small team.

Minimum Experience & Qualifications Required:


  • Matric
  • At least 12 years Administration experience at least in the training sector.
  • Experience working with different SETA's.
  • Experience in uploading documents on different portals.
  • Strong verbal and oral communication skills and ability to work effectively with multiple stakeholders across the organization at all levels.
  • Ability to work in a team.
  • Computer literacy: Microsoft Office Suite.
