The Role- Schedule regular meetings with Director to document who he/she has met with, which Company they are from, and what the possible business opportunities with them are
- Compile a library of this information and regularly follow up on, update and allocate actions from it
- Maintain a database with accurate and up to date records
- Set up meetings with the Director and the three Practice Group Leaders to share business opportunities that could be relevant to their practice areas
- Take notes/minutes during meeting with the PGLs and list action items and who is responsible for which action
- Regularly track action items and follow up with each PGLs and their allocated person to ensure the action item (business lead) is followed up on and converted to business
- Track Directors referred fees, ensuring they are all recorded, correctly allocated and chased up on
- Drive the process from sourced business through to contracted agreements
- Manage and followup of diaries
- Travel bookings, video conference bookings, lunch bookings, telephone conference call bookings, meeting room bookings and liaising with catering staff
- Managing the administration infrastructure within the practice and ensuring efficient, and effective processes and systems are in place
- Schedule debrief meetings with Director after major events, international travel or business meetings to identify key focus areas for Africa
- Prepare Africa reports based on key focus areas identified in the debriefing and from thorough and relevant research on business opportunities/practice in Africa
- Prepare business presentations as and when required
- Ensure client / potential client information is recorded on interaction
- Work closely with Director to ensure accurate revenue flow reports are generated for Mcom and the Supervisory board
- Oversee client onboarding
- Help drive the achievement of agreedupon revenue targets
- Compile trip statistics and trip reports as well as client communications
- Assisting with business development activities to develop the practice area and Norton Rose Fulbrights profile
Qualifications:
- Matric
- Relevant secretarial qualification
- Minimum of six years legal secretarial experience
- Experience within African countries and markets advantageous
- Experience in engaging with executive business and government stakeholders
- Experience in understanding and working with different political climates of African Countries
- Good command of the English language, both verbal and written
- Ability to communicate in French or Portuguese is an advantage
- Dictaphone and copy typing with a good speed and accuracy level
- Sound knowledge of MS Office, ie Word, Excel and PowerPoint
- Excellent organisational skills with attention to detail and accuracy
- Good telephone etiquette
- Adaptable, positive, innovative
- Professional attitude, well presented and a strong character
- Conscientious and proactive
- Ability to work overtime when required to do so
- Knowledge of basic accounting and fee debiting
- The ability to meet deadlines and work under pressure
- Proficient in communicating in French (both verbally and written) will be advantageous
- Ability to communicate in Portuguese (both verbally and written) will be advantageous
