Background on the Firm:

Baker Tilly Greenwoods is one of the oldest and largest independent auditing, accounting and advisory firms in Cape Town.

Main purpose of the Role:


The role is required to develop a system for and render professional administrative services, as part of a team, to local and international clientele of the firm with regards to compiling, consulting and filing of Beneficial Ownership ("BO") with the CIPC and the Master's offices.


Administrator required to ensure a first round of BO filing for clientele of the firm (building a foundation, for subsequent filings to be based on and attended to by permanent CoSec team members).


Main Duties and Responsibilities:


The role will assist and support the HOD in the CoSec Department with the following duties:

  • Draft and compile all required documentation to ensure timeous BO filing with both the CIPC and the Master's offices;
  • Liaise with CIPC and the Master of the High Court with regards to related registrations and/or challenges experienced; and
  • Direct reporting and correspondence to clients and firm Directors re the drafting and filing process;
  • Liaise with other service lines and/or Departments in the firm as necessary, ie. Tax Department and the CIPC Annual duties service line of the firm;
  • Assisting with administrative duties as pertaining to BO filing, ie. Preparing of invoices, updating of electronic database with regards to BO details, updating BO's to securities register, etc;
  • Timeous updating of Task Management system with regards to progress on each BO instruction;
  • Electronic filing of BO documentation on firm's network; and
  • Performance of inhouse administrative functions in the CoSec Department as required from the HOD from time to time.

Educational Qualifications and Experience:


  • Grade 12; and
  • Knowledge of company secretarial administration will be advantageous; and
  • Excellent computer skills (MS Word, Excel and MS Teams).

Technical Skills and Behavioural Attributes:


  • Above
    average administrative skills and organisational abilities;
  • Ability to
    work independently and think proactively;
  • Must be a selfstarter who is deadline driven and be able to find solutions to work related matters;
  • Commercial acumen;
  • A sharp sense of accuracy and attention to detail is a prerequisite;
  • Strong ability to work affably with others;
  • Must be willing to take instructions and be trained and work together as a team member;
  • Take responsibility for own development and contribute to team effectiveness;
  • Ensure a costeffective service to clients and the firm;
  • Require high performance in a busy and demanding office and industry environment;
  • Ability to prioritize tasks and a driver of results;
  • Excellent written and verbal communication skills in both English & Afrikaans;
  • Contribute to an enabling environment for highly engaged employees;
  • Intermediate knowledge of MS Office package;
  • Experience in an electronic secretarial/statutory package are required;
  • Experience in an electronic task management system will be advantageous; and
  • Legal and financial experience / background an advantage.
