Job Summary:

The Booking and Events Coordinator plays a crucial role in the seamless operation of be.
UP Park. This position


is responsible for coordinating and managing all aspects of event bookings, from initial inquiry to execution, ensuring that every event meets or exceeds customer expectations.

Additionally, the coordinator is responsible for overseeing the daily, weekly, and monthly schedule to optimize park activities and resources.


Key Responsibilities:


Ø Client Communication:

Act as the primary point of contact for event inquiries, providing timely responses and information regarding available packages, pricing, and services.


Ø Consultation and Planning:
Conduct thorough consultations with clients to understand their specific requirements, preferences, and any special requests for their event.

Ø Customized Packages:
Create tailored event packages based on client preferences, ensuring all details are accurately documented.

Ø Contract and Payment Handling:
Prepare contracts, secure deposits, and process payments in accordance with park policies and procedures.

Ø Logistics Management:
Liaising with floor management to ensure scheduling of events is seamless.

Ø Vendor Liaison:
Communicate with external vendors, such as catering services, entertainment providers, and decorators, to ensure seamless collaboration and execution.

Ø Event Execution:
Oversee events on the day of, ensuring all aspects run smoothly and addressing any unexpected challenges.


Customer Service and Satisfaction:


Ø Customer Engagement:
Provide excellent customer service by assisting guests, addressing inquiries, and resolving any concerns or complaints.

Ø Feedback Collection:
Gather feedback from clients and guests to identify areas for improvement and implement necessary changes.

Ø Customer recalls for parties, group bookings, school events.


Administrative Tasks:

Ø Complete all administrative documents for the café per event.

Ø Record Keeping:
Maintain accurate records of all bookings, events, and schedules, including client details, payment information, and event specifications.


Experience:


  • Sales customer service: 2 years (required)
- incoming and outgoing customer calls: 2 years (required)
Microsoft Excel: 2 years (required)
Microsoft Word: 1 year (required)


Language:


  • English (required)

Ability to Commute:

  • Umhlanga, KwaZulu-Natal (required)
