Our client is looking for a Project Administrator to join their team.


To contribute to an effective service delivery through the handling, monitoring and control of Ocean, Air, and Road Freight shipments from start to finish within required specifications and in accordance with agreed policies and procedures.


Responsibilities:


  • Open shipment files and allocate shipment file numbers, establish and obtain landside and transport rates, evaluate 3rd party service provider costs and quality assure that the rates on the shipping line invoice are in accordance with the company buying rates.
  • Issue and follow up on all estimate requests, turnaround for estimates are 24 hours from receipt, 48 for any DAP/DDP shipments.
  • Insure a signed and complete shipping instruction is received and is accurate for every shipment.
  • Ensure that the export declaration is framed correctly and submitted via ERP.
  • Ensure that all relevant releases are received and any delays are notified to the shipper/client immediately.
  • Ensure goods are collected or delivered on time and trucks/container(s) are placed in accordance with client's requirements.
  • Raise invoices within 48 hours of shipment departing and ensure that all cost lines are captured correctly and all accruals are inserted.
  • Interact with clients to keep them informed by notifying them of the departure and arrival of shipments and provide general assistance to ensure that shipment tracking is updated on the relevant tracking system.
  • Assist in the timeous and efficient closeout related to shipments by tracking and tracing client shipments from indent, to P.O.D. and invoice payment.
  • Provide general administrative support and back up to ensure client requirements are met.
  • Check Prealert(s) for accuracy and completeness prior to issuing this to client and destination office/agent.
  • Establish and develop strongly valued relationships with all carriers, agents and clients with the purpose of increasing confidence in and the reputation of the business driving brand awareness and loyalty.
  • Ensure that all activities in the area of responsibility are compliant with company specific regulations.
  • Ensure that all accruals for the individual shipments are captured and accurate in the month of the revenue recognition of the file. Any standing time, demurrage and detention should be accrued for prior to actual invoices being received.
  • Ensure client queries/complaints are resolved timeously and in a manner which satisfies the query/complaint.

Qualifications:

  • Matric
  • NCFF (NQF3/4), FIATA Diploma will be advantageous.
  • Logistics/similar degree will be advantageous.
  • Comprehensive knowledge of the forwarding and clearing industry.
  • Comprehensive knowledge of incoterms and customs requirements.
  • 5 years industry experience.

Ability to commute/relocate:

  • Johannesburg, Gauteng: Reliably commute or planning to relocate before starting work (required)

Education:


  • Diploma (required)

Experience:


  • Shipping: 5 years (preferred)
