A world leader in providing solutions to the mining industry is looking for a
Receptionist to join their team.


Job Duties and Responsibilities:


  • Answering and transferring of calls in a professional and friendly manner.
  • Exit the DND mode in the morning on switchboard system.
  • Divert the switchboard system to DND every afternoon before leaving.
  • Welcoming visitors and requesting visitors to complete the Visitor Register.
  • Filing of all workrelated documents.
  • Dispatching documents/parcels via courier and record keeping of the waybills sent.
  • Distributing post to relevant parties.
  • Ensure that reception area is neat and tidy at all times and replace newspapers and magazines.
  • Decorate the reception area for special occasion, for example Christmas.
  • Keep staff contact details up to date on the internal telephone list.
  • Print and Laminate A4 contact list for the Directors', PA to the Directors and HR.
  • When phone lines are down, report and make sure action is taken as soon as possible.
  • Typing of ad hoc documents if required.
  • Bind, copy and laminate documents when required.
  • Assist PA to Directors with ad hoc requests, travel and vaccination arrangements when required.
  • Assisting the Commercial department with ad hoc requests.
  • Make tea/coffee for the Directors and visitors.
  • Keep the storeroom in a neat order.
  • Assisting with items to be removed from the storeroom e.g. Banners, Brochures, Cold drinks etc.
  • Record items going in and out of the store room.
  • Liaise with the Guardhouse regarding visitors entering the premises.
  • Making sure the main boardroom fridge has stock.
  • Liaise with coffee company regarding stock and servicing of coffee machines.
  • Assist with the planning and managing of the garden.
  • Assisting with the organising of social events if requested, eg: year ends, blood drives, important client meetings and Braai every 2nd Friday.
  • Oversee office plants maintenance and care.
  • Take stock and order monthly office groceries.
  • Place consumables orders when needed.
  • Assisting with works order costings.
  • Loading and updating office maintenance on the Trello board.
  • Creating content and preparing newsletter twice a year.

Requirements:


  • Matric certificate or any equivalent certification
  • Previous receptionist experience
  • Own transport
  • Wellspoken fluent in English
  • Professional and presentable
