Job Advert Summary:


The Fleet Controller will be responsible for the Fleet Management and support function of the Hollard Vehicles (Leased &/ Owned).

This role will be required to primarily manage and support the leasing, purchasing, finance, disposal, and related fleet services on the Hollard fleet as required by business in alignment of the Fleet policies, systems and processes.

The Fleet Controller will govern the entire process from order placing, delivery, finance & supplier management, support and ensure to deliver service excellence to our internal and external customers.


Required Knowledge and Experience:


  • 35 years of experience in a Fleet Controller role
  • Experience in the financial services industry will be advantageous
  • Must have a valid driver's license
Assists in the fleet management and support of company vehicles by:

Fleet Management:
_


  • Administering New/replacement/transfer of vehicles (Quotes, Orders, Restructures, etc.)
  • Administering New/replacement/transfer of fuel cards (New, Cancellations, Terminations, etc.)
  • Administering New/replacement/transfer of Etags (New, Damaged, Terminations, etc.)
  • Issuing of loan vehicles
  • Oversee Vehicle return/termination
  • Manage License disc renewal process
  • Manage Vehicle Disposal
  • Coordinate Vehicle Inspections
  • Manage Maintenance (Authorisations)
  • Administer Lease vehicle rebills
  • Facilitate various insurance claims and car hire

_Fines Management_

  • Retrieval & Capturing of fines (Postal/Traffic Dept.)
  • Process payments & recoveries
  • Redirections of fines (In preparation of AARTO)
  • Communications (Driver/HR/Service Provider)
  • Facilitate Acknowledgement of Debt (AOD)
  • Master list management (Create folder/Scan/File)
  • Administer Various reports
  • Adhoc projects

_Finance_

  • Process payment requests


  • Prepare recons

  • Accurate cost allocation for recoveries
  • Administer Debit order recon & recoveries
  • Manage & resolve finance queries
  • Coordinate and facilitate Monthly meetings with Finance team to ensure successful recoveries
  • Communicate (Payment remittances, Invoices, Statements, etc.)
  • Manage expenses
  • Purchase Order management

_Support _

  • Ensure all required reports are submitted for Fleet dashboard accuracy
  • Monitor and log incidents/queries on SP Fleet management systems (MixTelematics/FNB/Wesbank/Simunye)
  • Administer SARS Logbook/Fuel/Maintenance Reporting
  • Coordinate System socialising and training (Utilise train the trainer methodology)
  • Adhoc projects

_Document Management_

  • Create Driver folders on share drive
  • Compilation of relevant letters/ mandatory documentation
  • Update expired documents
  • Maintain an accurate master list (Review & update movements new & terminations)

_SLA Management_

  • Acknowledge & Process all service desk calls
  • Accurate updating of status till calls are closed
  • Provide regular and appropriate feedback and follow up with suppliers and internal clients.
  • Manage escalations
  • Activate survey questions

_Supplier Management_

  • Maintaining close working relationship with various BU's, OSU's and colleagues.
  • Build and develop good relationships with service providers
  • Regular internal and external stakeholder meetings
  • Ensure minutes are recorded/taken and executed as defined
  • Accurate Odometer readings

_Reporting_

  • Create folder and save reports per category
  • Contribute and compilate monthly reporting (MBR/BU)
  • Communication of business reports
  • Reviewing and managing variance reports
  • Manage Maintenance reports
  • Sustainability reports
  • Vehicle projections

_General _

  • Providing input to Policies, Standard operating procedures (SOPs) and maintaining user guides for the Fleet process.
  • Assist Team members with tasks when required to the benefit of the department and company.

Educational Requirements:


  • Matric
  • Diploma or Degree in Supply Chain Management or Procurement will be an advantage
  • Must be selfmotivated with enthusiasm and strong drive for results
  • Highest standards of ethical practice and integrity
  • Ability to develop and implement a wellthoughtout buying strategy
  • Excellent Project Management
  • Strong communication skills with the ability to communicate effectively at any level
  • Ability to drive aggressive implementation plans and schedules
  • Must be able to problem solve and handle multiple tasks effectively
  • Ability to handle high pressure
  • Strong organizational and administration skills
