Description
3years- Answer, screen and forward any incoming phone calls while providing basic information when needed.
- Receive and sort daily mail/deliveries/couriers.
- Maintain security by following procedures and controlling.
- Update appointment calendars and schedule meetings/appointments.
- Schedule routine appointments as requested.
- Schedule followup appointments as needed.
- Ensure all documents for patient file is signed
- Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
- Complying with protocols, rules, and regulations.
- Contributes to team effort by accomplishing related results as needed.
- Liaise with Dispatch department to resolve queries regarding devices, orders and deliveries.
- General office administration that might be required.
- Make sure that consumables and merchandise are available for the branch.
- Implement health and safety protocols.
- Ensure that the branch/office environment is kept neat and tidy at all times.
- Assists with office maintenance, arrange with handyman if any repairs are required.
- Ensure that filing is complete and up to date.
- Assists with other ad hoc duties or projects as requested.
- Check in patients, collect new patient intake paperwork, verify demographics and medical aid information. Assist patients with billing queries.
- Check patient medical aid status, available funds and benefits.
- Ensure medical aid information is competed and claims are submitted.
- Ensure patients make payments that are due after appointments (Copayments and private patients).
- Ensure all paper work is completed and up to date with regards to payments.
- Do invoices of patients after the appointment.
Qualifications and Experience:
- Grade 1
- At least 2 years' experience as a receptionist or administrator.
- Diploma/Tertiary education in administration or similar
- 35 years' experience as a receptionist or administrator at a medical practice.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to calculate figures and amounts.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where mostly standardised procedure exists.
- The receptionist needs to be able to solve patient problems, analysing their situation, and determining solutions.
- Computer literate. Planning and organising skills. Spreadsheet software. Internet software.
